Description

GumGum is looking for an Executive Assistant to the CEO and President/COO. You will not only support two executives but anticipate, plan and execute their goals and vision. Responsibilities include a variety of tasks that range from basic (traditional administrative functions) to strategic (smartly scheduling meetings and travel, reacting with appropriate urgency to situations and events, communicating proactively, not reactively, etc).You’re a perfect fit if you learn fast, can work with little or no supervision, approach work with vigor and determination, can multi-task like a pro, and can anticipate a need before it arises.

Responsibilities

  • Provide administrative support for the CEO, President/COO. This will include complete calendar, schedule, and email management, as well as domestic and international travel logistics, trip preparation, and expense reporting.
  • Research and compile briefing documents and agendas in preparation for meetings and conferences.
  • Develop and maintain an understanding of what is critical to the business, allowing you to make the appropriate decisions, which impact the executives time. You’ll also regularly communicate what and how you’re prioritizing, with the goal of staying in-line with the their priorities.
  • Keep a pulse on what is happening throughout the company and with clients, which gives you the ability to identify issues that need escalation. You use this information within your constant communication with the President/COO ensuring he is well-informed.
  • Provide solid judgment in dealing with confidential information, ensuring accurate and timely distribution of information.
  • Plan high-level offsite events including Executive and Management offsites.
  • Manage various personal tasks and errands

Requirements

  • Bachelor’s Degree
  • At least 3-4 years of experience directly supporting an executive(s)
  • Strong Excel and PowerPoint skills
  • Start-up experience preferred
  • Excellent organizational skills with a sense of urgency to follow through
  • Tenacity, drive, and work ethic
  • Enthusiasm with a positive outlook and “can-do” attitude
  • Professional attitude with the ability to comfortably communicate with internal and external partners
  • Flexibility and adaptability in an ever changing environment

  • Tech and Web-savvy with the ability to learn new concepts quickly
  • Strong work ethic and eagerness to learn
  • Demonstrate executive presence, maturity and sound judgment, along with the ability to maintain a high degree of confidentiality
  • Strong problem solving skills including ability to proactively anticipate requirements and identify/mitigate potential issues before they occur
  • Detail-orientated with expertise establishing/maintaining organized administrative processes and systems
  • Demonstrated ability to provide a high level of service and to effectively and comfortably communicate with internal and external customers.
