Greenberg Traurig, a global law firm, currently has an excellent full-time employment opportunity in the Administrative Services Department of our Chicago office. We offer competitive compensation and an excellent benefits package.

Position Summary:
 

Responsibilities include conference room maintenance and setup including coordination of food service for meetings and other special events, providing back up support to the receptionist, and assisting with special projects.  The hours for this position are 8:00 a.m. until 4:30 p.m., Monday through Friday.
Duties & Responsibilities:
  • Represents the firm in a professional manner by providing customer focused service
  • Prepares conference rooms for meetings
  • Coordinates and sets up beverage and food service for meetings 
  • Proficient in the ordering of food and beverages, inventory, rotating stock and food safety
  • Provides routine maintenance/cleanup for conference rooms and kitchen area including cleaning out refrigerators
  • Inventories and stocks kitchen and conference room supplies
  • Covers reception desk, as needed, including greeting guests
  • Moves furniture (such as conference room set up) as needed
  • Follows established protocols, utilizes discretion, and adheres to confidentiality policies
  • Assists with other department activities as needed, and performs additional duties and responsibilities as assigned

  • High attention to detail, outstanding organizational skills and the ability to manage time effectively
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
  • Must have a service orientation and actively look for ways to help people
  • Ability to calmly work under pressure to meet strict deadlines, adapt to a fast-paced high-pressure environment to achieve business goals and objectives
  • Self-starter who can work well under minimal supervision as well as take a proactive approach in being team oriented
  • Strong problem-solving skills, takes initiative and uses good judgment, excellent follow-up skills
  • Position requires walking and standing periodically, reaching above shoulders, lifting, bending, climbing step ladders, receiving goods and storing catering equipment
  • Ability to work independently with minimal supervision
  • Ability to work overtime as needed
Qualifications & Prior Experience:
  • High School Diploma; College Degree in Hospitality Management is a plus
  • Law firm facilities and/or operations experience preferred
  • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
  • Exceptional computer skills with the ability to learn new software applications quickly
