The Associate Director of Project Management is responsible for day-to-day management of the operations of accounts and leadership of internal teams. Establishes, monitors and optimizes program and process for maximum effectiveness and efficiency. Responsible for overseeing flawless, on-time delivery of projects by creating structure and holding team members accountable and collaborate with the Associate Directors and Directors in resource management.



Process & Execution:

  • Guide large teams in process development, financial management (at a program level) and scoping of work.
  • Define and adjust processes to meet project/business needs and look for ways to improve processes while coaching teams to do the same
  • Partner with internal team to continuously optimize existing operational processes and systems, ensuring buy-in and compliance with directs.
  • Develop best-practices and processes for team to follow for internal and external deliverables
  • Manage media authorization procedures
  • Focus team members on deadlines and identifies/mitigates potential project risks
  • Manage through obstacles with teams, addressing roadblocks head on and updating timelines to make up time when it is lost
  • Work with strategy team to properly archive all project related documents
  • Establish flowchart template, vehicle naming convention and MediaTools update process for planning team implementation 
  • Manage all planning timelines and deliverables


Resource Management:

  • Oversee planning and AMP team members to effectively distribute workload, actively managing when imbalances identified
  • Partner with Client Service and Finance leads to actively manage business challenges, client relationships, developing annual scopes and contracts, estimates and staffing plans against scoped work, and maintaining profit margin.
  • Work with account and client stakeholders to instill and enforce processes, workflows and tools that support the profitable delivery of client work.
  • Collaborate with Senior Leadership to ensure the proper resources are in place
  • Request and analyze staff hours, at minimum quarterly, to identify any workflow issues and provide perspective on any necessary adjustments


Quality Assurance:

  • Enforce team compliance to high company standards and professionalism
  • Develop and articulate compelling decks and lead trainings
  • Create checks and balances to assure all work disseminated externally is of the highest caliber
  • Ensure audit compliance (media audits for clients, as well as diversity requirements)
  • Create and execute media process improvements to drive efficiencies




Project Management & Communications:

  • Maintain and enforce high standards of communications and documentation, including status and financial reports, timelines, scopes, change orders, best practices and asset management.
  • Partner with Creative to effectively shepherd and manage campaign deliverables.
  • Contribute to a culture of delivery efficiency and excellence with direct reports and larger Program department.
  • Collaborate with senior management and cross-functional leads on projects and strategic assignments.
  • Lead client discussions on project plans to ensure client understands project flow and due dates needed to meet end goals.
  • Proactively manage, provide guidance, and develop clear communications around program and business-related risks.



  • Mediatools knowledge required, with knowledge of project management software a plus
  • Understand media planning principals, with the ability to build a media plan including audience insights, competitive analysis and media mix
  • Knowledge of media planning tools including MRI/Simmons, ComScore and other third-party tools
  • Able to manage all levels of projects from simple to complex, with ability to work with multiple parties across agencies
  • Successful track record of on-time delivery and effective budget management
  • Strong proficiency in Microsoft Project and/or Excel
  • Strong verbal and written communication skills




  • Bachelors degree in business, advertising or related field
  • At least 3-5 years of project management experience (marketing or media experience a plus)
