This is a part time role (17.5hrs per week), overseeing the reporting and compliance processes of our biggest account – Unilever

As our Operations Manager you will be responsible for delivering regular reports as well as overseeing the reporting of other teams, noticing changes, and connecting with the right people to solve any discrepancies.  Your role will require a good grasp of numbers and Excel but also involves lots of personal contact with a wide range of stakeholders in order to collate the information you need and then share it in a clear and understandable way. 


The reports you produce will be a mix of regular deliverables and ad-hoc requests, and you will also be the champion of the bespoke tools and systems used for reporting on the account (you will be trained in these).  In time, you will also input into development decisions for making improvements to the tools and processes used. An estimated 70% of your role will be supporting the reporting function in one of these ways.


The remainder of your role will be working with the Unilever leadership team, Mindshare Global team and Unilever clients to document various processes, SLAs and compliance initiatives as well as manage training programmes and track delivery against our SLAs.  You will also have responsibility for compiling a monthly status document and presenting this at a monthly meeting.  These elements will take up an estimated 30% of your role.


Your role is the only one of its kind within our team, so you will report into the Head of Planning on Team Unilever, but also have regular 1:1s with the Client Lead.  You will not have direct line management responsibilities but will work collaboratively with people across a number of teams, and as the expert in you function will have responsibility for the training of people in the reporting and tools that you manage.


  • Ensuring all regular scheduled reports are completed and accurate.
  • Facilitating ad hoc reporting requests – including stakeholder management on timelines and deliverables.
  • Working with specialist teams to collate the data you need.
  • Being the authority and “go to” person for Mindshare / Unilever reporting tools and compliance metrics.
  • Receiving queries from our finance team and Global colleagues in relation to compliance tracking, PO tracking and invoice queries (for example), and then ensuring the relevant people within the UK team are brought in to address the queries.
  • Training and checking the quality of reporting / compliance output across the entire Unilever team.
  • Identifying changes in month on month data or between multiple sources and working with relevant specialists to correct the data or provide an explanation for the difference.
  • Coordinating the agenda, status pack and follow up actions for a monthly client meeting.




  • Organised, including the ability to prioritise and manage time effectively.
  • An ability to work collaboratively, across levels and disciplines.
  • Clear communication style – written and verbal.
  • A strong grasp of numbers and Excel. An understanding of Pivot tables, simple macros and advanced formula writing (VLOOKUP etc) is required to undertake this role.  Refresher training can be facilitated, but some familiarity is needed.
  • A professional attitude, including promptly responding to requests, managing client expectations politely, and ensuring stakeholders are kept up to date with any potential delays or challenges.
  • Adaptable – you will have specific roles to undertake but are also part of a close knit team that work together and adapt to the inevitable curveballs that come our way.


The Unilever UK team consists of approximately 60 people who collectively plan and buy the TV, digital (including search, social, eCom, and video), radio, Print and OOH media for all of Unilever’s brands in the UK.  You may not be aware of Unilever, but you will certainly be familiar with their brands.  They are the owners of Persil, Dove, Ben & Jerry’s, Marmite and many, many more household names.

Mindshare also holds the Unilever account in many other markets as well as the Global planning contract, which means that although we are a UK team we do work closely with colleagues in our Global team (also based in London).
