EssenceMediacom Systems Intelligence houses all the data, effectiveness, insight, and technology specialists within EssenceMediacom. The team has one purpose – to ensure the best use of data within media planning.  

 

Our System’s Intelligence team is crucial for our client’s success by delivering a data-driven approach to media strategy, planning and activation with an emphasis on accountability and innovation. This unit also empowers & guides the wider EssenceMediacom network on their own transformative data journey.  

 

An integral part of Systems Intelligence is our Business Science team which specialises in marketing analytics. At Business Science we are committed to building connections along clients’ business journey to ensure they can make the right decisions to optimise their business performance.We do this using a vast range of analytical techniques which are bespoke for each business question and client. 
 
Our areas of expertise span market mix modelling, budget setting and allocation, forecasting, brand equity modelling, launch volumetric studies and conjoint to name but a few. Our primary focus is on getting insight out of data and analytics to provide recommendations for clients that are realistic, relevant and above all actionable. We are a team of 50+ experts, working across more than 25 clients in the UK and globally. We analyse over £600m of communications spend each year, covering 15% of UK media spend which means we are the leading experts in our field. 

 

Business Science team is based in 3 locations in the UK: London, Manchester, and Leeds.

The Role 

 

Reporting into a Project Lead, the Senior Commercial Coordinator is responsible for handling all billings and finances for the Business Science team. You will be responsible for all things finance – from tracking income to ensuring we have an accurate and correct view at all times, forecasting for the year ahead, and generating monthly summary reports to report back to key stakeholders. Ultimately – doing everything you can so that projects and clients are billed on time. It requires a high attention to detail whilst working with numbers along with a combination of problem solving, organisation and communication. There is the ability to work remotely and flexibly within this role.

 

 

Responsibilities 

 

  1. Manage Business Science UK departmental finance admin
    • Ensure department billings file is kept up to date with all projects fees and timings ready to report back to Finance
    • Liaise with multiple stakeholders – Finance team, clients, and team heads within the department
  • Ensure all documentation required by Finance is in place
  • Raise and handle all finance processes such as: invoices, POs, forms, etc.
  • Generate monthly summary reports and share with Business Science senior leadership team
  • Ensure all finance reporting tools are populated and up to date as and when required

 

  1. Handle and assist with all finance queries such as audit requests, month end queries, etc.

 

  1. Coordinate department annual billings forecast and reforecasting throughout the year

 

  1. Manage our biggest global client’s billings end to end
    • Liaise with client procurement contact to obtain project fees and timings confirmation
    • Raise and handle all finance processes such as: invoices, POs, forms, etc.
    • Ensure all tracking files are kept up to date and all align
    • Draw up scope of work documents with guidance from project head for ad hoc projects
    • Ensure all internal stakeholders involved are paid and that we are paid by the client
    • Respond to queries from client, internal stakeholders and Finance team

 

Skills & Experience 

 

  • Organised individual with high attention to detail and questioning mindset
  • Must be comfortable dealing with numbers
  • Confident Excel user (pivot tables, VLOOKUPS, IFS)
  • Experience managing various stakeholders
  • Strong verbal and written communication skills
  • Ability to problem-solve independently
