Executive Assistant, Human Resources
Provides a broad range of administrative assistance to leaders and their teams. In this role, the successful candidate will be tasked with complex administrative and office management responsibilities, including but not limited to, preparing reports, maintaining schedules, meeting coordination, making travel arrangements, submitting expenses, document management, preparing presentations and other related duties as assigned.
We are looking for an individual with superior organization skills, the ability to partner with all levels of management in the company to join our dynamic, fast-paced, and fast-growing team. The successful candidate will handle a variety of responsibilities concurrently, manage conflicting demands and work independently.
Main Accountabilities:
- Greet employees and guests coming into the office and provide general assistance
- Responsible for coordinating daily calendar schedule for leaders
- Manage travel arrangements, submitting expense reports, schedule meetings and assisting with calendars
- Assist various employees, clients and guests with a wide range of administrative duties
- Respond promptly to all incoming inquiries, analyze staff needs, recommend solutions using excellent judgement
- Schedule meetings and coordinate on-site support, including visitor access, room reservation, conference calls and catering
- Close collaboration with other Administrative Assistants
- Manage all administrative tasks, including various projects as they arise and always preempting the needs, requirements and constantly being one step ahead
Qualifications:
- At least 5+ years of experience as an administrative assistant or comparable position.
- Proficiency in Outlook, Excel, Word, PowerPoint and experience with expense management software and data share sites
- Highly organized, precise, proactive and capable of multitasking.
- Understands the importance of deadlines
- Able to balance competing priorities.
- Capable of developing and maintaining effective working relationships with a broad constituency.
- Possesses sound judgment.
- Excellent oral and written communication skills.
- Discreetly handle sensitive and/or confidential information.
