Job Summary:

This position provides project management support to the CEO (Chief Executive Officer and President).  In this role, the successful candidate will be tasked with administrative and project management related responsibilities, including but not limited to, preparing reports, tracking projects, project deliverables, document management and other related duties as assigned. 

 

We are looking for a self-confident, result oriented individual who can strive in a dynamic, fast-paced and growing environment while maintaining structure, attention to details and confidentiality. This position works closely with the Executive Assistant supporting the CEO.

 

Main Accountabilities:

  • Liaison between CEO and Senior Leadership Teams
  • Prepares and maintains project plans, tracks project progress, and prepares reports for clients or project stakeholders
  • Reviews project requirements, identifies interdependencies with internal or external departments or service providers, delegates responsibilities, and ensures that work is completed as needed
  • Schedules cross-functional meetings to facilitate collaboration
  • Maintains project-related documentation, including contracts, invoices, or payment records.
  • Meet and support corporate objectives
  • Handle certain interactions with various counterparties including clients, vendors, holding company personnel and other third parties

 

Qualifications:

  • 4+ years of relevant project related experience, preferably in the financial services or insurance industry
  • Proficiency in Outlook, Excel, Word, PowerPoint and experience with expense management software and data share sites
  • Proven ability to meet deadlines, handle multiple requests, and to be flexible and adapt as necessary to successfully manage evolving priorities
  • Proactive with the ability to take initiative
  • Strong interpersonal, communication, and problem-solving capabilities
  • Exceptional organizational skills, time management and attention to detail
  • Proven ability to prioritize efficiently, with impeccable follow through
  • Dedicated, reliable, thorough, and professional, hands-on attitude
  • Responsive to clients’ needs while balancing the priorities of the CEO 
  • Ability to adapt quickly and appropriately in accordance with the constant evolution of the company
  • Maintain calmness in high pressure situations and maintain confidentiality
  • Willingness and ability to provide support, including after business hours and weekends, when needed.
