Administrative Assistant

GreenPoint Ag is seeking an Administrative Assistant to work in the Decatur/Tanner Service Center supporting the Warehouse. This positions aids and performs all stated functions (clerical and otherwise) necessary to enhance the performance and desired results of the assigned department/location. Responsible for performing and facilitating office support activities that will ensure the smooth and efficient operations of the Company. The Admin will be customer facing, internal and external, and will require someone with a positive attitude, great people skills, and ability to manage time well. This position will benefit from someone with excellent problems solving skills and follow-through.
This position is Monday through Friday, On-site, from 7am-4pm with extended hours during the growing season.
Essential Functions
- Performs duties relating to orders, inventory, reporting and administrative needs through use of EFC Vanguard operation software
- Prepares, formats, edits, and proofreads a wide variety of materials including reports, correspondence, bulletins, memoranda, and other documents
- May be called on to perform inventory and cycle counts in the warehouse or answer inquiries to be physically checked.
- Assists department by answering the telephone, directing calls, and taking messages as needed. Ability to multi-task and learn different job functions in the Service Center.
- Assists as needed in the coordination of programs and activities with office personnel and field staff to ensure their success
- Assists as needed with assigned department/location travel and hotel needs
- Maintains office supply cabinet and computer and copier paper supply to assure adequate resources are available
- Conducts clerical functions related to orders, invoicing, credits, deliveries, etc.
- Presents a positive, professional image of Greenpoint Ag, its products and its programs
- Must be able to work within a team and build relationship with different personalities to drive team success.
Supervisor Responsibilities
- No supervisor responsibilities, but may, on occasion, provide direction to other individuals
Required Qualifications
- Specific position/site qualifications and progression may apply, consult with Human Resources
- Skill Level I – High School graduate; some related experience and/or training
- Skill Level II – Associates degree from a 2-year college; 2+ years of related experience and/or training; or equivalent combination of education and experience
Knowledge, Skills & Abilities
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence; ability to speak effectively before groups of customers, employees, and organizations
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule forms
- Working knowledge of, Microsoft Office Suite, including MSWord, Outlook, Excel, PowerPoint, Publisher, and other software deemed necessary to perform job duties as stated
- Valid driver’s license; must be able to meet a Motor Vehicle Review in accordance with Company policy
- Ability to communicate with associates and customers
- Ability to read, count, and write to accurately complete all documentation
Work Environment
While performing the duties of this job, the employee regularly works in an office setting, but may occasionally visit agricultural/warehouse sites that include exposure to extreme temperatures, dust, moisture, noise, and industrial hazards that require the use of PPE.

Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods and the use of hands to finger is common. No heavy lifting is expected. Exertion of up to 10 lbs. of force may occasionally be required. While performing the duties of this job, good manual dexterity for the use of common office equipment such as computer terminals, calculator, and copiers is needed. While performing the duties of this job, the employee is frequently required to walk and talk or hear. Specific vision abilities required by this job include distance vision and ability to adjust focus. Vision requirements relate to ability reading/using computer.
