The Administrative Manager will support the VP of Retail and the Retail Directors by managing key projects, streamlining processes, and driving operational efficiency. This role plays a pivotal part in facilitating decision-making, coordinating strategic initiatives, and improving productivity across the retail division. The Administrative Manager will also serve as a liaison between senior leaders and internal teams, ensuring smooth communication and execution of business strategies. With a focus on optimizing workflows and supporting leadership in achieving business objectives, this role contributes to the overall success of GreenPoint Ag’s retail operations and its long-term goals. The ideal candidate will be service oriented, humble, and trustworthy. This candidate must be highly organized, have strong attention to detail, be task oriented, and be able to assess and prioritize multiple simultaneous projects. NOTE: While this position is hybrid remote, candidates must be located in the GreenPoint Ag footprint.

Essential Functions 

  • Follow all safety regulations and guidelines
  • Organize and prioritize critical information for the business segment and senior leaders to support efficient decision-making
  • Oversee strategic initiatives from development through execution, collaborating with senior leadership and department heads
  • Assist and communicate with leadership in decision-making, program management, and initiative implementation
  • Collaborate with business segments and management on special projects
  • Improve processes and coordinate procedures for optimized efficiency and productivity
  • Create presentations for meetings and conferences, including senior leadership
  • Organize and plan meetings, acting as facilitator when needed
  • Build and foster relationships across the organization for increased efficiency and responsiveness
  • Serve as a liaison between staff, senior leaders, and managers, providing updates, proposals, and project planning
  • Anticipate issues and navigate diplomatically
  • Work well under pressure, managing multiple tasks independently
  • Track operational costs, monitor budgets, and support operational efficiency needs
  • Demonstrate sound knowledge of the business, understanding key drivers of success at locations
  • Represent business leaders when needed, with leadership capabilities

    Supervisor Responsibilities 
    • Though an individual contributor, this role will represent leaders, working with and influencing locations on behalf of senior management.
    Required Qualifications 
    • Bachelor’s degree in business administration, Finance, or a related field; Experience may substitute for a degree
    • 10+ years of relevant business and leadership experience
    • Experience with program management, staff leadership, and group facilitation a plus
    • Proficient with Microsoft Office Suite, including Power BI, Excel, Word, and Outlook
    • Strong experience in creating and presenting professional presentation decks
    Knowledge, Skills & Abilities 
    • Detail-oriented with strong process improvement skills
    • Excellent written and verbal communication
    • Strong time management, persistence, and persuasion skills
    • Experience with financial analysis
    • Proven ability to build relationships across an organization
    • Strong analytical and problem-solving skills
    • Working knowledge of current ERP systems (Merchant, Vanguard, etc.) is preferred 
    • Ability to manage multiple projects simultaneously
    • Adaptable to change with strong emotional intelligence
    • Creative, solution-oriented business mindset
    • Strong project reporting and interdepartmental communication skills
    • Ability to develop Standard Operating Procedures for administrative activities
    • Collaborative team player with mentoring abilities for administrative staff

    Work Environment

    While performing the duties of this job, the employee will work in both indoor and outside work environments. Occasionally exposed to extreme cold and hot temperatures, wet or humid conditions and outdoor weather conditions. 

    Physical Demands

    Regularly required to use hands and fingers to handle, feel and reach with hands and arms. The employee is regularly required to stand, talk, and hear. Must be able to lift 20 lbs. The employee is also regularly required to walk and occasionally required to stoop or kneel.

    Travel

     Approximately 10%
