DESCRIPTION:
The successful Office Services Manager is an energetic professional who doesn't mind wearing multiple hats, who is experienced in handling a wide range of administrative duties and executive support-related tasks, who communicates effectively, and is able to work independently with little or no supervision. This person is well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people. The Office Services Manager will embody the company values of accountability, inclusiveness, energizing and integrity. Event planning experience is a plus.
Additionally, the Office Services Manager will provide administrative support to the ATL Regional Team ensuring efficient daily operations and successful event coordination for Windsor Communities. This role demands exceptional organizational skills, proactive communication, and a collaborative spirit to enhance community engagement and operational effectiveness across the Atlanta region.
RESPONSIBILITIES:
Office Services Manager Duties and Responsibilities:
- Point person for office printers, conference rooms, kitchen appliances, coffee and water machines, snacks, cleaning, mailing/shipping, supplies, equipment, invoices, stationary printing needs, and maintaining errands.
- Partner with HR to maintain office policies as necessary.
- Assist in organizing office operations and procedures.
- Coordinate with IT department on all office technology equipment and support to employees.
- Coordinate with outside companies for renovation and construction projects.
- Point person for furniture providers in selecting new furniture and décor as well as repairing existing furniture.
- Work closely with landlord’s carpenters, cleaners, electricians, and plumbers to maintain office.
- Manage contracts with office providers.
- Provide general support to visitors as needed.
- Work closely with building management (JLL), cleaning staff (ABM), and building security (Unitus).
- Assist in organizing and enforcing office operations and procedures.
- Coordinate with IT department on all office technology equipment and support to employees.
- Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid for in a timely manner.
- Forward weekly FedEx package containing all mail correspondence not intended for the ATL office to the Office Services Manager in Boston. This will ensure the items / communications meant for other offices are promptly redirected to the appropriate team in the Boston office.
- Maintain Avigilon badging software and perform frequent audits to be sure all badges are accounted for. Work closely with building security to ensure badges of former employees are deactivated.
- Provide employees with first aid and AED training and maintain relationship with Cintas for AED device rental and first aid supplies.
- Perform special projects and keep the management properly informed.
- Responsible for assisting new hires with onboarding (IT, swag, office/desk space, etc.).
- Responsible for reviewing annual budget for office services, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise.
- Organize and assist in the planning and execution of office events including employee Happy Hours, GIVE events, and special social gatherings (retirement parties, etc.)
- Serve as primary contact for employees in other corporate offices to assist them in finding office space and technology needs when working in our office.
- Provide back-up to Office Manager’s in other offices.
- Partner with building management to develop Emergency Evacuation plan and recruit and manage floor warden volunteers. Communicate plans with all employees and keep it a part of new hire on-boarding.
- Cultivate effective working relationships with others and maintain a safe, secure, and pleasant work environment.
Administrative Support:
- Assist with scheduling meetings and travel arrangements.
- Maintain accurate records and databases, ensuring confidentiality.
- Prepare reports, presentations and correspondence as needed.
- Assist in planning and executing regional events (e.g. bi-annual WOW awards presentation; develop and orchestrate regional contests; resident gatherings; training / meeting session), overseeing logistics, vendor contracts, and budgets.
- Serve as a liaison between regional teams, corporate departments, and external partners.
- Assist with budget monitoring and expense reporting.
- Assist with coordinating logistics and communication for WOW Awards and associate events.
- Assist with planning and setting up for site visits, including coordinating lunch orders and supporting marketing or presentation materials for visitors/investors.
- Assist with entering property-level data into trackers.
- Research and compile data as requested.
- Conduct compliance audits such as, Funnel schedules, Google My Business activity, and quarterly website reviews for Atlanta properties.
- Share monthly resident event ideas with flyers and supply lists.
- Assist with reviewing Kingsley and JTurner feedback weekly to identify trends and flag concerns.
- Draft and send urgent resident communication (e.g., fire alarms, outages) as needed.
- Use knowledge of Atlanta policies and procedures to help resolve minor resident escalations.
- Maintain a tracker for birthdays and anniversaries to ensure timely recognition.
- Support appreciation efforts through shout-outs and updates in internal communication channels.
- Assist with duties related to the annual Operations Conference.
- Assist properties with special projects as needed.
- Other duties as assigned.
REQUIREMENTS:
- Minimum of Associate's degree (A. A.) from a two-year college or technical school with 5-10 years executive administrative experience are required.
- Demonstrated ability to handle numerous projects and tasks simultaneously.
- Excellent communication and dispute resolution skills, strong customer service focus.
- Proficient in Microsoft Office (Word, Excel, and PowerPoint)
- Able to prioritize competing tasks and work independently under pressure.
- Flexible with their schedule and expected to work occasional overtime.
COMPENSATION:
- Our company considers a range of factors including education and experience when determining base compensation.
- Compensation range: $75,000 - $90,000 + 5% bonus potential.

- 1 hour of paid sick and safe time for every 30 hours worked, 10 days of paid vacation time accrued bi-weekly, 6 weeks of paid parental leave, 10 paid holidays annually, and up to 3 floating days.
