The Bid Coordinator will be detail oriented. The ideal candidate will effectively present information in one-on-one and small group situations to vendors, distributors, and other employees of the organization. The Bid Coordinator will set up and maintain bid files plus assist in various areas of Administration.
 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES:  
  • Maintain a positive work atmosphere to foster good communication with customers, clients, co-workers, and management. 
  • Attendance and detail oriented are essential functions of this position.
  • Order, print, and bind plans and specs.
  • Review bid documents thoroughly for all bidding requirements.
  • Setup and Maintain bid files
  • Communicate effectively with public/private agencies and request information when bid submittal documents are unclear.
  • Prepare the required Bid and Good Faith documents including advertising and solicitation as per project-specific requirements.
  • Assist with the preparation of Material department bids
  • Responsible for ordering Bid Bonds.
  • Enter/maintain bid results in Power BI (project tracking).
  • Maintain all bid files, lists, and calendars.
  • Setup of electronic bids (ebids) and submission as needed.
  • Run bids (Physical delivery) for bid submittal as needed.
  • Assist in various areas of the Administration Department when requested.
  • Attend seminars, meetings, and classes as requested to remain knowledgeable in all areas of responsibility.
  • Assist with other duties as assigned by Management. 
QUALIFICATIONS:  
  • Working knowledge of Microsoft Office.
  • Ability to use and understand Viewpoint (Vista), HCSS (Heavy Bid and Heavy job).
  • Excellent written and verbal communication skills.
  • Ability to prioritize and handle multiple projects utilizing organizational skills and communication skills.
  • Timely and accurate completion of work.
  • Strong commitment to corporate goals.
  • Ability to function in a fast-paced, demanding working environment.
  • Ability to effectively present information in one-on-one and small group situations to vendors, distributors, and other employees of the organization.
  • Ability to recognize and resolve conflict amongst other individuals as well as demonstrate leadership capabilities in helping others to recognize conflict and opportunity situations.
  • Minimum of two years’ experience in an office environment
