Responsible for the preparation of new contracts for costing software. Processing project invoices and sub-payments support and assist in all areas of contract administration, and estimating departments.
Essential Functions
- Expected and accountable to maintain a positive work atmosphere by acting and communicating in a manner so that you get along with customers, clients, co-workers, and management.
- Attendance and detail oriented are essential functions of this position.
- Maintain project daily cost, equipment, and job files in Viewpoint, Heavy Job, Heavy Bid and Equipment 360.
- Process and maintain daily Work Tags received from field employees.
- Review dispatch daily. Add codes in Heavy Job based on the order. Make notations next to all truckers if on haul/ off haul.
- Input daily material receipts from plants, and code batches.
- Monthly balancing of Materia costs between Heavy Job and Viewpoint.
- Work with Shared Services for management of AP (job/department coding & costing, and timely approval from responsible job/depart).
- Prepare miscellaneous documents and reports as needed
- Assist with maintaining job costing and accounting system reconciliation, send monthly report for PM/PE review.
- Assist with coding invoices for construction projects.
- Assist with processing cost allocations/distributions for Equipment, Small Tools, and others, monthly or more frequently, as needed.
- Assist with month end process and deliverables.
- Assist with maintaining DEWR rates for crew and equipment and sending updated excel workbook to PM/PE group as needed.
- Assist with imputing rental equipment costs into Heavy Job.
- Assist with creating new jobs from Heavy Bid budgets and upload them into Heavy Job and Vista.
- Generate cost code report for PM/PE’s responsible for project.
- Create new cost codes for change orders, at the request of the Contract Admin team.
- Adding cost codes at request of PM/PE/Foreman for extra work tracking (typically 810’s and 850’s).
- Frequent coordination with Construction, Plants, Equipment groups for costing purposes, or other related support.
- Scanning, Filing, and maintaining of all job/department costing paperwork.
- Assist with Craft Employee training and appreciation gatherings as needed.
- Communication, Attendance, and Detail Oriented are essential functions of this position.
- Attend seminars, meetings, and classes as requested to remain knowledgeable in all areas of responsibility.
- Assist with other duties as assigned by Management.
Qualifications
- Minimum 2+ years’ experience in job costing or related field.
- Minimum 1+ years in a Construction office environment.
- Working knowledge of HCSS, Vista, Microsoft Office (frequent use of Outlook, Excel, Word) and other software programs as needed.
- Must have excellent communication skills both written and verbal.
- Must possess the ability to prioritize and handle multiple projects utilizing organizational skills and communication skills.
- Strong sense of responsibility regarding timely and accurate completion of work, and a strong commitment to corporate goals.
