IT PMO Support Administrator

We’re looking for a full-time IT Project Management Office Support Admin – just like you! You will be responsible for performing a variety of tasks for the PMO, while working with limited supervision and instructions for both routine assignments and special projects. This position requires you to have considerable knowledge of the areas of responsibilities and the ability to apply this knowledge to problems encountered. You will also provide project related reporting, presentation, expense management and administrative support to the PMO and serve as primary liaison between IT and different units/departments. This position collaborates with executive leadership and staff across multiple organizations to deliver projects on-time, within budget and in scope of the strategic objectives outlined by the PMO. This is a remote position.

What You’ll Do

  • Collect, organize, and edit information required to produce high quality reports
  • Generate reports and department correspondence on a weekly/monthly basis
  • Consolidate and distribute team KPIs and dashboards.
  • Create charts and graphs of various IT data points, as needed
  • Assists in preparation and drafting of materials that are used to communicate with the business, its leadership, and other stakeholders at scheduled intervals
  • At times, and under the direction of the PMO, conduct technical research and analysis
  • Manage and provide administrative support for the PMO staff, including researching and working with vendors as needed
  • Maintain comprehensive pre/post project-related documentation, including estimates, timelines, and post-project reviews. Work with various departments to augment data-centric requirements and documentation
  • Identify and understand business needs and formulate technical proposals to meet those identified business needs
  • Manage and cultivate relationships with key stakeholders, staff, and leaders representing a broad range of functions and levels within the national office
  • Collect, proofread, edit, format, and distribute documentation needed by staff, such as technical user guides, policy information and other relevant data
  • Assist in developing processes and internal documentation
  • Detailed record keeping, files maintenance, calendar creation, and other document management for executives and senior support staff
  • Provide meeting and conference support including preparation and note taking

What You’ll Bring

  • Bachelor’s degree in Business Administration, or related field 
  • 2+ years’ experience in an IT environment preferred
  • 3+ years in a PMO support administrator role, or similar
  • Proficiency with project management software--e.g., Monday.com--highly preferred
  • Detail-oriented with excellent follow-up practices. Comfortable with follow-up at all levels (required)
  • Strong analytical and problem-solving skills and ability to work with limited supervision (required)
  • Strong organizational skills and attention to detail, ability to meet tight deadlines, and handle multiple projects simultaneously (required)
  • Proficiency with the preparation of both business and technical presentations
  • Ability to take initiative and manage multiple priorities
  • Advanced proficiency in MS Office computer programs (specifically, Excel, Outlook, PowerPoint, Word)
  • Aptitude to learn new software quickly and independently
  • Ability to create and maintain professional relationships within all levels of the organization to help drive project and program objectives toward completion
