The Role Summary:
The Administrative Assistant provides high-impact administrative and project support for leadership and field teams across the country. This role manages multi–time zone calendars, virtual meetings, travel logistics, and cross-functional coordination to keep priorities moving and communication tight. HR-adjacent support (onboarding coordination, interview scheduling, document management) is a plus.
Essential Responsibilities:
  • Provide day-to-day administrative support to executives, managers, and remote teams.
  • Own calendar management across time zones; schedule and prep virtual meetings (agendas, materials, notes).
  • Coordinate domestic travel and itineraries; manage changes quickly and accurately.
  • Prepare and edit correspondence, presentations, reports, and executive-level documents.
  • Plan and support company events (QBRs, National Sales Meetings, leadership offsites): logistics, invites, catering, shipping/AV.
  • Process expense reports, purchase orders, and invoices; assist with budget tracking.
  • Maintain organized electronic filing systems; handle confidential information with discretion.
  • Support HR-related tasks (onboarding coordination, interview scheduling, policy/benefit doc distribution).
  • Manage vendor relationships, office supply orders, and general operational needs.
  • Track follow-ups and drive cross-department communication to meet deadlines.
Qualifications:
  • 3+ years in administrative or executive support roles.
  • Strong Outlook calendar management and multi-time-zone scheduling experience.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Teams/Zoom.
  • Excellent organization, written communication, and time management.
  • Event/meeting coordination experience preferred.
  • Professionalism, discretion, and a proactive problem-solving mindset.
  • HR administrative or onboarding experience is a plus.
