Position Responsibilities

This position will be part of the Marketing team. This position will assist in maintaining budget tracking reports for leadership, monitor variances between monthly forecasted vs. actual spend and YTD budget. In addition will ensure timely and accurate processing invoices and expenses associated with the strategic and tactical marketing plans to achieve sales and revenue goals.  Assist in preparing the monthly actuals and accrual support files. This person will work cross functionally with Finance, Accounting, Marketing Teams and Outside Vendors/Partners/Agencies to resolve discrepancies and questions 

Specific duties will include:

Budget Management

  • Assist in maintaining internal tracking reports for leadership to monitor variances between monthly forecasted vs. actual spend and YTD budget, including change log of reallocated funds or incremental funds
  • Assist team in executing and updating annual and quarterly budget forecast updates
    • Resolve discrepancies with budget and work with internal departments to ensure aligning to budget
  • Work with finance to maintain a complete record of changes due to re-forecasting


Billing and Reporting

  • Assist in preparing the Monthly Actualization and Accrual Support file for review internally and with Accounting
    • Prepare and consolidate presentation of current month transactions and YTD transactions across all tracking systems for review and reporting
    • Prepare and consolidate variances from forecasted vs actuals reporting for finance and accounting
  • Manage internal departmental semimonthly meetings to review invoice tracking and account for deviations from forecasts and shifts in budget plan


Expense Management

  • Confirm and manage alignment of POs (Blanket and Standard) and related invoices for the assigned vendors
    • Establish PO guidelines to ensure all Marketing Program expense is associated with a PO before the Vendor begins work (unless we have advanced billing agreements in place)
    • Ensure that Marketing Managers are informed of these processes
  • Familiarity with MDF/COOP process and credits tracking within budget, and are appropriately accounted for
  • Work cross functionally with Finance, Accounting, Marketing Teams and Outside Vendors/Partners/Agencies to resolve discrepancies and questions
    • Expedite payment process as needed
    • Manage and respond to Vendor Aging requests for the assigned vendor set
    • Execute the invoice receiving function for the assigned vendor set
  • Ability to manage multiple pre-payment programs between agencies and sponsorship activities and ensure invoicing and reclassification of payments are accounted for and properly adjusted to the month of use
  • Maintain detailed records of changes and invoicing to reconcile and address questions


Education and Experience

  • 2-4 years previous experience in budget management and billing/invoicing systems
  • Bachelor’s degree preferred


Required Skills & Experience 

  • Strong knowledge of Microsoft office suite
  • Advanced Excel skill and proficiency with large amounts of data
  • Must be detail-oriented and have strong analytical, reporting and organizational skills
  • Excellent communication skills and ability to collaborate and build relationships
  • Team player with the ability to work independent
  • Must be able to multi-task in a fast-paced environment
  • Strong Analytical and Problem-Solving Skills
  • Financial Skills
  • Familiar with Frontier Systems a plus. Particularly FSI, INFINIUM, and NGS.
