POSITION SUMMARY: 
We are seeking a highly organized and detail-oriented individual to join our team as a Retail Program Coordinator. In this role, you will be responsible for the successful planning, execution, and management of various retail programs that drive sales and offer excellent customer experience. 
 
Program Management: Implement retail programs and processes from conception to execution, ensuring they align with company objectives and brand strategy. 
Communication & Collaboration: Collaborate effectively with internal teams (marketing, merchandising, operations) and external vendors to ensure program success. 
Logistics & Execution: Oversee program logistics, including budgeting, expense tracking, scheduling, vendor communication, and resource allocation. 
Data Analysis & Reporting: Track program performance through data analysis and generate reports to measure program effectiveness and identify areas for improvement. 
Promotional Activities: Develop and manage engaging in-store promotional activities to drive traffic and sales. 
Project Management: Utilize project management skills to keep programs on track, manage deadlines, and ensure tasks are completed efficiently. 
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: 
Retail Account Management: 
  • Provide calendar and scheduling support for the retail team. 
  • Manage and maintain all retailer and lead generation company contact information. 
  • Organize and prepare materials for client, vendor and internal stakeholder meetings and presentations. 
  • Assist with maintaining retailer/partner portals and dashboards. 
  • Project manage retail launch initiatives. 
  • Process and manage all program-related documentation (contracts, agreements, etc.). 
  • Ensure badging process adherence for all teams, 3PLs, Dealers and subcontractors and support badging processes 
 
Expenses: 
  • Implement efficient expense reporting and reimbursement procedures. 
  • Process all retail division expenses (travel, meals, marketing materials, etc.) 
  • Track and monitor program budgets and identify any potential spending issues. 
  • Monitor credit card statements and reconcile transactions. 
  • Address any discrepancies or suspicious activity on program credit cards. 
  • Review and reconcile program invoices for accuracy. 
  • Track and manage badging expense by team/Dealer. 
 
Travel: 
  • Arrange and book travel for the retail account team, including flights, hotels, and meetings. 
  • Track travel expenses and ensure compliance with company travel policies. 
 
Retail Event Kits: 
  • Manage the ordering and distribution of retail event kits (marketing materials, samples, etc.). 
  • Maintain inventory levels of event kit items and anticipate needs. 
  • Coordinate with vendors and suppliers to ensure timely delivery of event kits. 
  • Track retail event kit spend v budget for each Lead Generation company. 
Data Entry and Reporting: 
  • Assist with data entry for sales reports, lead generation data, and other program-related information. 
  • Generate basic reports as needed. 
 
Communication and Coordination: 
  • Maintain clear and consistent communication with internal and external stakeholders (retailers, lead generation companies, vendors). 
  • Coordinate logistics and deadlines to ensure the smooth operation of all program activities. 
 
In-Store Event Scheduling Compliance: 
  • Review and verify in-store event schedules for compliance with all scheduling policies.  
  • Communicate any scheduling conflicts or discrepancies to the retail account manager for resolution. 
  • Reconcile schedules to actuals to ensure schedule adherence 
  • Work with the retail account manager to develop contingency plans if scheduling conflicts arise. 
 
Compliance: 
  • Ensure key program compliance measures and adhered to and report to Account Manager when issues arise. 
  • Perform other duties as assigned. 
 
QUALIFICATION REQUIREMENTS: 
 
Education & Certifications: 
  • Bachelor's degree in Business Administration, Marketing or related field (preferred) 
 
Experience: 
  • Minimum of 2-4 years of experience in a program coordinator role. 
  • Experience in Solar and Retail a plus. 
 
Knowledge, Skills & Abilities: 
  • Strong organizational, communication and time management skills 
  • Excellent analytical and problem-solving skills 
  • Ability to work independently and as part of a collaborative team 
 
Special Skills & Training: 
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive) 
  • Familiar with using a CRM
