POSITION SUMMARY: 
AP Inventory Clerk is responsible for processing a high volume of electronic invoices for payment for weekly payment preparation. The AP Inventory Clerk duties include, three-way matching of procurement vendor invoices for payment, reconciliation of reports, resolving invoice discrepancies, maintaining AP inventory Vendor files and records as well as any other clerical duties associated with this position. 
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:  
  • Accurately match purchase orders to invoices and daily upload or enter invoices into NetSuite 
  • Check each invoice for Discrepancies such as: Pricing, Quantity, Shipping and Tax charges, and locations. 
  • Sets up New Vendors and request W-9 Verification. 
  • Interacts with Vendors and/or purchasing to resolve discrepancies  
  • Verify vendor accounts by requesting and reconciling account statements as needed 
  • Assist with weekly AP Inventory vendor payment preparation and checks mailout 
  • Reviews all invoices for appropriate documentation and approval prior to payment 
  • Provide documentation and support during annual financial statement audits 
  • Protect Organization’s value by keeping information confidential 
  • Update job knowledge by participating in educational opportunities 
  • Perform other duties as assigned 
QUALIFICATION REQUIREMENTS: 
 
Education & Certifications:  
  • High School Graduate or GED  
Experience: 
  • 1 to 3+ years accounts payables preferred 
  • 1+ years knowledge and experience of Netsuite Oracle preferred,  or any ERP software or QuickBooks  
Knowledge, Skills & Abilities: 
  •   Knowledge of general accounting principles, regulatory standards and compliance requirements
  • General math skills
  • Proficiency in MS Office, specifically Excel.
  • High degree of accuracy, attention to detail and confidentiality
  • Excellent data entry skills
  • Excellent analytical, problem solving and decision-making skills
  • Effective verbal, listening and written communication skills
  • Effective organizational, stress and time management skills
  • Demonstrates a sense of urgency and ability to meet deadlines
