POSITION SUMMARY: 
 
The HOA coordinator is responsible for handling the HOA process from start to finish. The primary goal is to provide exceptional customer service while efficiently removing HOA as a blocker to installation within the bounds of prescribed HOA process guidelines. 
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: 
  • Conducting research to identify HOA requirements and application process 
  • Assembling all documents required for HOA approval 
  • Communicating with homeowners, Sales Reps, and HOA's through various mediums; phone calls, text, and email 
  • Coordinate with various departments for customer resolutions 
  • Take extreme ownership of customer issues and see through to resolution 
  • Understand company and department goals and KPIs. Ensure workstreams are aligned 
  • Provide feedback to management regarding processes, tools, and best practices 
  • Perform other additional duties as needed to support company goals and initiatives 
 
QUALIFICATION REQUIREMENTS: 
 
Education & Certifications: 
 
  • High School Graduate or GED 
 
Experience: 
 
  • Office or clerical experience preferred  
  • Advanced computer skills  
Knowledge, Skills & Abilities: 
  • Self-motivated

  • Ability to manage workflow 
  • Ability to multitask 
  • Excellent customer service skills 
  • Excellent written and verbal communication skills required 
  • Regular, reliable, and predictable attendance required 
  • Attend weekly webinars or departmental calls 
  • Ability to communicate with different departments efficiently with no less than a24-hour turnaround time 
  • Must submit all designs finished by the design team within a 24-hour turnaround 
  • Maintain expense reports for daily transactions 
  • Submit weekly reports for checks and monthly reports for all credit card transactions 
 
PHYSICAL DEMANDS AND ABILITIES 
  • Regularly spend long hours sitting and using office equipment and computers 
  • Regularly spend long hours answering phone calls and emails 
  • Regularly move from sitting to standing positions effortlessly 
  • Regularly spend long hours in intense concentration reviewing and entering information into a 
  • computer 
  • Regularly use hands and fingers to handle, control or feel objects 
  • Regularly see details of objects that are less than a few feet away 
  • Regularly speak clearly so listeners can understand 
  • Regularly understand the speech of another person 
  • Frequently work on projects that require deadlines 
  • Frequently bend to file and maintain files 
  • Occasionally lift 5-10 pounds
