Duties and Responsibilities

This role will support our Birmingham team including the Regional President and market leadership by providing general administrative support and assist in office management.

  • Manage manager schedules and act as liaison for direct reports
  • Arrange travel, accommodations, itineraries and all correspondence related to arrangements as needed
  • Prepare reports, presentations, and data, as well as maintaining files, records and correspondence for meetings
  • Maintain confidentiality of information
  • Assist in organizing and implementing events such as meetings, business luncheons and client dinners
  • Assist in facilities management such as managing vendors, ordering supplies and submitting invoices for payment
  • Partner with building management in fielding maintenance requests and assist in office safety preparedness initiatives
  • Assist with onboarding new office employees
  • Assist with company events, meetings and employee team building activities or special projects while maintaining the company culture

Requirements and Qualifications

  • Bachelor’s degree preferred but not required
  • 3+ years’ experience in mid-to senior-level administration, business, management or related field preferred
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint and Excel); scheduling appointments/updating calendars a must
  • Excellent written and verbal communication skills
  • Able to concentrate on multiple problems/tasks at once
  • Able to meet deadlines in a fast-paced quickly changing environment
  • Proactive approach to problem-solving with strong decision-making skills

  • Able to perform all administrative duties:  managing schedules and travel, maintaining files and confidential information, organizing and preparing reports and maintaining written, electronic and verbal communications
