Description

Summary:
Function with a high level of judgment, discretion, and minimum supervision to provide a wide range of support to the Executive, especially in the areas of managing schedules, priorities, workflow, screening of all incoming documents, undertaking basic research, preparing meeting documentation, preparing responses, and ensuring the smooth delivery of services.  
 
Duties and Responsibilities
Support the Chief Audit Executive by providing general administrative support.
  • Manage Chief Audit Executive schedule and act as liaison for direct reports and third parties
  • Arrange travel, accommodations, itineraries, and all correspondence related to arrangements, as needed
  • Prepare recurring and ad hoc reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
  • Preparing internal communications and coordinating between departments
  • Meet and greet executive visitors
  • Maintain confidentiality of information
  • Assist in organizing and implementing events such as meetings, reserving meeting space, conference room setup (prepare for audio/visual requirements), and business meals
  • Assist in facilities management such as managing vendors, ordering supplies and submitting invoices for payment
  • Prepare and maintain executive expense reports and supporting documentation as needed
  • Assist with onboarding new department employees and third parties
  • Assist in department and company events, meetings, employee team building activities, or special projects while maintaining the company culture
  • Encourage and maintain a high level of teamwork and inspire trust throughout the department by keeping others informed though timely dissemination of relevant information, reports, etc. 
  • Adhere to policies and procedures 
  • Maintain attendance, punctuality, required training, dress code, safety, compliance, and confidentiality 
  • Fulfill other duties as assigned

Requirements and Qualifications
  • Bachelor’s degree preferred
  • Three to five years’ prior experience in mid-to senior-level administration, business, management, or related field
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
  • Excellent written and verbal communication skills
  • Able to concentrate on multiple tasks at once
  • Able to meet deadlines in a fast-paced quickly changing environment
  • Proactive approach to problem-solving with strong decision-making skills
