Objectives of This Role:
The administration team is responsible for the proactive support of various teams across the organization including, but not limited to, office leads, department leads, executives, C-suite, etc. The team is also responsible for all things office-related, including vendors, facilities, orders, special projects, and calendar management.
Duties and Responsibilities:
- Office leadership support:
- Calendar support
- Meeting coordination
- Travel
- Expense report submission
- Scheduling interviews for office
- Client visit preparation
- Facilities/building management (building fobs, parking passes)
- Management of external vendors (plants, coffee machines, water)
- Kitchen management
- Office supply management
- Front desk coverage
- Mail and FedEx account
- Ticket and vendor management for office-sponsored tickets (depending on office location)
Job Requirements:
- 1-3 years of experience
- Being comfortable engaging with office leads
- Managing and reconciling corporate credit cards for office leads
- Booking travel for multiple employees, as well as experience dealing with a travel agency vendor
- Calendar management; knowing how to juggle a calendar, move items around
- Ability to work in-office 5 days per week
