Submissions Specialist / Project Manager
Description
- Develop a comprehensive understanding of brand submission and regulatory requirements specific to market access, including but not limited to payer submissions, formulary dossiers, and health technology assessment (HTA) documentation.
- Develop and maintain detailed project plans and timelines for all market access-related submissions, ensuring alignment with overall project goals and deadlines.
- Attend and complete any required brand-specific training and credentialing necessary to service client work within the market access landscape.
- Partner effectively with copy, project management, strategy, editorial, and account team members to ensure seamless submission-day success for market access deliverables.
- Proactively identify potential roadblocks or delays in the submission process for market access materials and implement solutions in collaboration with the team.
- Tag, link, and upload submission files and support materials, including references, in Veeva Vault and other client-specific systems, applying functional annotations as needed for market access documentation.
- Follow and maintain the submissions calendar, specifically tracking deadlines for market access submissions across different regions and stakeholders.
- Attend weekly internal brand team standup meetings to stay informed of timelines and updates relevant to market access submissions, and provide updates on submission progress and potential risks.
- Maintain a well-organized reference library for assigned brands, uploading and retrieving market access-related references as needed (e.g., payer guidelines, HTA reports).
- Serve as a knowledgeable resource for submissions excellence, providing support and contributing to the continuous improvement of the submissions team's workflow and processes, with a focus on market access requirements.
- Communicate effectively with internal and external stakeholders regarding submission timelines, requirements, and any potential issues.
- Track and report on the status of market access submissions, providing regular updates to the project team.
- Bachelor's degree.
- 3 to 5 years of experience as a submissions specialist, preferably within the pharmaceutical or market access advertising industry; prior experience at an agency or pharmaceutical company with project management responsibilities related to market access submissions is highly desirable.
- Flexibility in schedule; ability to accommodate submissions work for agency teams that may support global market access activities.
- Software/systems proficiency in Veeva Vault and other client submission systems; Adobe Acrobat, Microsoft SharePoint (Word, Excel, PowerPoint); experience with project management tools (e.g., Microsoft Project, Asana, Trello) is a plus; Mac user required.
- Ability to understand and absorb scientific content relevant to market access submissions (e.g., clinical data summaries, economic models).
- Ability to work under pressure and multitask, with strong attention to detail and accuracy, particularly when managing complex market access documentation and timelines.
- Proactive, team player with strong interpersonal and project management skills to collaborate effectively with market access teams and drive submission timelines.
- Excellent written and verbal communication, planning, critical thinking, and organizational skills, with the ability to clearly communicate submission requirements and timelines to market access stakeholders and manage project-related communication.
- Exercises good judgment with procedures and policies to determine appropriate action for market access-related submissions and escalate issues appropriately.
