(Hybrid) Project Manager
Objectives of this role:
The project manager is a hybrid role that combines client-facing account management with internal project leadership. You will serve as the primary liaison between our medical communications & marketing agency and our clients, managing a diverse portfolio of small to medium-sized projects from inception to completion. This role requires a trusted advisor who can build strong client relationships while also driving projects forward, ensuring they are delivered on time, on budget, and to the highest quality standards.
Duties and Responsibilities:
Client & Account Management
· Serve as a trusted advisor to clients, building strong relationships and developing a deep understanding of their brands, therapeutic areas, and market landscapes.
· Document client contact reports, requests, and meeting outcomes concisely and accurately.
· Proactively manage client expectations and provide regular updates on project status, risks, and timelines.
Project & Financial Management
· Initiate projects by assisting in the development of project scopes, deliverables, timelines, and estimates. Open and maintain all project files and job folders.
· Drive the day-to-day execution of projects, orchestrating all phases to ensure timely, high-quality delivery.
· Proactively identify and mitigate potential project risks and issues as they arise.
· Oversee all project finances, including tracking budgets, monitoring for scope changes, and preparing weekly burn reports.
· Assist with monthly financial forecasting and billing.
Communication & Internal Collaboration
· Act as the central communication hub for all projects, coordinating cross-functional teams to ensure seamless collaboration.
· Lead and facilitate internal and external meetings, distilling notes into key points and actionable next steps for stakeholders.
· Proactively communicate project status to both internal and external stakeholders, keeping a clear record of all critical communications.
· Secure resources for projects by collaborating with the resource manager on a weekly basis, anticipating workload challenges across departments.
Regulatory & Compliance
· Ensure all project deliverables meet high-quality standards by conducting thorough content reviews prior to client submission.
· Maintain a basic understanding of Medical, Legal, and Regulatory (MLR) submission processes and client-specific compliance requirements within publication management portals and other systems.
Qualification Requirements
· Education: Bachelor’s degree, preferably in health sciences marketing, or communications.
· Experience: 2-4 years of work experience in a healthcare, marketing, or communications agency.
· Skills:
o Strong communication, relationship-building, and strategic thinking skills. Excellent organizational skills, attention to detail, and follow-through.
o Proficiency in project management software (e.g., Workamajig (preferred), AirTable, Jira) is a critical requirement.
o Proficient in Microsoft Word, intermediate-level Excel and PowerPoint.
o Experience with publication management software is a plus.
