What You’ll Be Doing
As our Senior Payroll Specialist, you’ll report to a Philippines-based manager and work closely with the Operations team. You will ensure employees are paid correctly and on time by acting as a subject matter expert and problem solver. Your key responsibilities will include:
- Resolve Complex Calculations: Accurately calculate and process non-standard payments, including retroactive pay, bonuses, final checks, and adjustments.
- Ensure Regulatory Compliance: Stay current on all relevant Philippine tax and labor laws, ensuring the accurate and timely filing of taxes and mandatory contributions (Social Security, Philhealth, HDMF).
- Investigate and Reconcile Data: Perform detailed audits and General Ledger (GL) reconciliations of payroll data to prevent errors and ensure financial accuracy.
- Manage Vendor Performance: Serve as the main operational point of contact for the payroll vendor, ensuring 100% timeliness of deliverables and compliance with Service Level Agreements (SLAs).
- Drive Process Improvement: Evaluate payroll software (HRIS, Sprout, Xero), identify inefficiencies, and propose and implement automation tools or process changes.
- Handle Complex Inquiries: Act as the primary point of contact for employee payroll disputes, clearly explaining complex payroll concepts in a clear, easy-to-understand manner.
What You’ll Bring
- Experience: 3 to 7 years of direct, full-cycle payroll experience, covering data entry, timecard management, tax filings, and year-end processing.
- Software Expertise: Proficiency with a major payroll system like Sprout or Xero, including system configuration and troubleshooting.
- Data Skills: Advanced proficiency in Microsoft Excel, including the ability to use pivot tables, lookup functions, and macros for data analysis and reporting.
- Expert Knowledge: Deep expertise in calculating, withholding, and remitting various payroll taxes and processing benefits and claims.
- Attributes: Proven problem-solving skills, meticulous attention to detail, and excellent written and verbal communication to explain complex payroll concepts.
Bonus Points For
- System Integration: An understanding of how payroll systems integrate with HRIS and time and attendance software.
- Project Leadership: Experience mentoring junior team members or leading small-to-medium process improvement projects.
- Annual Activities: Prior experience managing annual payroll activities such as 13th Month Pay, Tax Annualization, and year-end reporting.
