Job Summary:

The Document Control Specialist will partner with the FieldCore Project Coordination Specialist, in support of the client's power plant engineering (PPE) team. Responsible for uploading and managing the organization of all project documents, within the client's internet-based project document application. Responsible to coordinate and maintain the site documentation system, including but not limited to receiving, distributing and storage of documents, drawings and correspondence within GE and to/from Subcontractor.

Essential Duties & Responsibilities:

  • Develop and maintain site documentation filing and storage area as per the requirement.
  • Processing documents that are vendor, customer, partner and/or client related, for global projects, in support of PPE
  • Ensure all compliance standards for client's ISO procedures are met.
  • Attend the engineering project kick-off meeting, along with the Project Specialist.
  • Support Project Specialist in running appropriate deliverable reports weekly; expedite accordingly.
  • Support the flow and control of project documentation and information including the PPE scope,
  • Control the access to documentation area.
  • Provide documents required for client review, and internal PPE correspondence by tracking in various PPE e-tools.
  • Monitor all product department customer documentation when required.
  • Ensure timely distribution and display of all documentation received at the site.
  • Keep well-maintained records for each receipt and issue of each document.
  • Ensure a comprehensive handling of documents at site, which at least includes but not limited to:
    • Register the receipt of all documents and verifies the correctness of documents with respect to the transmittal. Take up and resolve any discrepancy observed with the originator of the transmittal.
    • Issuing of working copies of the documents to all site personnel within GE or subcontractor etc.
    • Ensures that each receiver always holds the current revision of the document and all earlier revisions are either withdrawn and stored separately or clearly identified as obsolete / superseded.
    • Control all correspondence on as built or red correct documents.
  • Assist in tracking and prioritizing resolution of project Action Items, Request For Information (RFIs) and Critical Technical Issues. Constantly proactive in resolving queries from the site construction team on documentation.
  • Periodically review various e-tools to ensure correct folder structure and security setting, check for discrepancies and report findings to the Project Specialist.
  • Ensure PPDM is installed at site and all concerned have access to the same and are trained to do so.
  • Sharing of administrative duties, as instructed by Site Quality Manager or Site Manager
  • Travel may be required
  • Ability and willingness to work holidays, weekends and overtime as required by field assignments
  • May be assigned other duties to help proactively drive our FieldCore vision and align with our organization’s core values.

Required Qualifications & Experience:

  • High School Diploma or equivalent
  • 3+ years applicable experience with file storage, uploading and downloading, Internet usage.
  • MS Office proficient - Outlook, Word and Excel
  • Must be extremely comfortable using multiple e-tools (software, client specific applications, etc.)
  • Ability to multi-task/juggle multiple demanding priorities, interface effectively with diverse teams of personnel and organizations and organize and prioritize workload to give excellent customer service
