Role Summary/Purpose

The Field Service Coordinator will organize the mobilization and demobilization of field employees. Coordinators will reconcile project travel costs. 

Essential Functions

  • Coordinate mobilization and demobilization of field employees to ensure timely arrival to and from job sites.
  • Manage and coordinate with craft employees all the logistics details related with mobs and demobs.
  • Places and follows up vendor quotes requests and requisitions and ensures on time Open PO Closure.
  • Codify and upload invoices related to T&L expenses for mobilizations, office services and insurances non billable to customers to ensure proper payment to suppliers.
  • Initiate requests and follow up on information in the GE Travel Advisory System (TAS) for craft employees.
  • Coordinate mobilizations and demobilizations of field employees related to conferences, trainings and workout events.
  • Coordinate T&L logistics associated to kick off meetings, work outs as per SM guidance.
  • Responsible of arranging ground transportation for field employees during outages. Ground transportation should follow outage security plan and T&L guideline.
  • Support contingent Craft Employees with concur reimbursements.
  • Request onboarding and offboarding of contingent employees (Argentina & Chile)
  • Responsible of Shadow Payroll process for expats working in country.
  • Coordinate the delivery of EPP, credit cards, IT equipment and Immigration/legal documents to field employees from office to employee location.
  • Responsible of follow up on documentation including medical appointments, immigrations and government clearances before site access for field employees.
  • Support field employees with filling and submitting formats or applications for visas or work permits.
  • Lead and coordinate the daily calls to track the documentation status of the team to be mobilized.
  • Tracking and updating standard documentation for all field employees
  • Create a carpet in the box for every outage and upload the tracker and documents of every employee assigned to that maintenance.
  • Coordinates Third-party vendors Document Delivery of for review and site access.
  • Responsible of administrative activities at local offices such as services arrangement and vendor payment.
  • Support craft employees with cash payments of visas or work permits.
  • Attend and participate any Sourcing trainings as a requestor.
  • Perform other duties as assigned.

Qualifications/Requirements

  • Two years relevant work experience in field operations, customer service or office administration role desired.
  • Bachelor’s degree preferred. Related degree considered in lieu of experience

  • Intermediate knowledge level of Microsoft Office (Word, Excel, Power Point, Outlook)
  • Minimal travel required
  • English proficiency required
