THE ROLE
 
As Property Administrative Assistant, you will provide critical administrative support to the Property Management region responsible for operating and maintaining a group of retail and mixed-use properties. In this role, you will report to the Senior Property Manager, and you will very much be an integral part of this team and support the delivery of “best in class” property operations to enhance our assets and tenants’ relationships.
 
WHAT YOU WILL DO:
 
  • Provide administrative support to the property management team, including preparation of various reports and correspondence, providing coverage for Accounts Payable, general research and more.
  • Assist Accounts Payable with the preparation of tenant chargebacks and accruals and provide support in preparing Accounts Receivable documentation and Take To Income/Write Offs.
  • Perform reception duties, acting as the first point of contact for all inquiries, while creating a friendly and comfortable atmosphere for all employees, tenants, suppliers, and visitors.
  • Support office management, while handling the ordering of all office supplies, and coordinating team events. 
  • Collect insurance certificates, renewal documentation, and tenant sales for all applicable tenants for monthly submission.
  • Assist Property Managers with tendering, service contract documentation and short-term agreements.
  • Assist in collecting and updating tenants contact information.
  • Participate in special projects and take on other duties as assigned. 
 
WHAT YOU BRING:
 
  • Related administrative experience, preferably in commercial real estate.
  • You are service oriented and care about providing exceptional customer service, with the ability to problem solve and offer solutions. 
  • A team-player; you are willing to step in and lend a hand as needed and you identify the opportunities to do so.
  • You have excellent communication and interpersonal skills to effectively collaborate with tenants, suppliers, internal teams, and others.
  • Strong attention to detail and time management skills to coordinate multiple, competing priorities and deadlines.
  • You have solid computer skills coupled with sound knowledge of Microsoft Office (Excel, PowerPoint, Word, and Outlook).
