- Annual Compensation: $75,000 - $83,000 plus bonus opportunity
Position Overview: The Accounts Payable Supervisor oversees the daily operations of the Accounts Payable (AP) function, ensuring timely and accurate processing of invoices, expense reports (credit cards and reimbursements), and payments. This role provides leadership to the AP team, enforces internal controls, supports audits, and drives process improvements.
Essential Responsibilities:
- Manages and develops an effective staff: providing effective communication, leadership, guidance, and resources according to organizational policies and applicable laws and regulations. Determines staff qualifications and competency: recruits, interviews, selects, hires, trains, orients, mentors, evaluates, coaches, counsels, disciplines, and rewards. Establishes and monitors staff safety and regulatory compliance.
- Manages team workload, prioritize tasks, and ensure deadlines are met.
- Oversees timely and accurate processing of AP transactions in line with policies and statutory requirements.
- Maintains vendor relationships, onboard new vendors, and resolve outstanding balances.
- Addresses AP operational issues and collaborate with internal teams for resolution.
- Responds to inquiries from vendors, employees, and internal stakeholders.
- Reviews AP transactions for correct coding and approvals.
- Ensures vendor payments comply with contract terms through review or coordination with other teams.
- Monitors AP metrics to evaluate efficiency and identify improvement opportunities.
- Supports audits by providing documentation and responding to auditor requests promptly.
- Maintains and enforces internal controls over AP processes, including vendor setup and payment approvals.
- Recommends and implements automation and workflow improvements to enhance accuracy and efficiency.
- Assists with month-end close by reconciling AP accounts, ensuring completeness, preparing necessary journal entries and analyzing variances.
Supervisory or Managerial Responsibility:
- Supervises up to 5 accounting employees.
Other Duties:
- Other duties as assigned by management.
Minimum Qualifications:
- Associate’s degree in accounting, finance, or related field required.
- 5 years progressive AP experience, including 2 years supervising or leading people required.
- Demonstrated understanding of AP best practices required.
- Proficiency in ERP systems (NetSuite preferred) and Microsoft Excel (Pivot Tables, VLOOKUP) required.
