Position Description:

EVgo is creating a new role for an Executive Assistant to manage key cross-cutting administrative functions for the C-Suite.  While members of the C-suite will continue to do the majority of their own scheduling, the new EA will be called on to coordinate and spearhead meetings that are large, interdepartmental, and involve EVgo’s board members or other key stakeholders from outside of EVgo. As the C Suite’s Executive Assistant, you will bring your expertise to organize and schedule on-site, off-site, and virtual meetings, including resolving calendar conflicts, arranging events and team building activities, and coordinating and disseminating materials as required. You will also leverage your skills to support travel arrangements and expense reimbursements if requested.

The ideal Executive Assistant should have a successful track record of at least two years supporting C-level executives or performing in challenging and demanding financial, legal services, or consulting environments. As a key contact, you will need to exercise strong judgment and discretion in a variety of situations, demonstrate excellent written and verbal communication and be exceptionally well-organized. An experienced multi-tasker you will be able to prioritize among multiple stakeholders and the demands of working under pressure to successfully handle a wide variety of activities and confidential matters with discretion.

Responsibilities
:
  • Report into SVP of HR and support CEO, CFO, CTO/COO, CCO, and CLO.
  • Coordinate external and internal meetings for corporate affairs.
  • Manage all arrangements for Board meetings and teleconferences – virtual and in-person.
  • Expertly coordinate the preparation of materials for EVgo’s Board Meetings.
  • Organize off-site events for employees, C-level executives, and Board members (dinner reservations, accommodations, catering, location scouting, all while mindful of and adherent with any current COVID-19 protocols, etc.).
  • Support travel arrangements for executives including international travel as requested.
  • Prepare expense reimbursement reports if needed
  • Monitor C-level calendars and pro-actively resolve conflicts.
  • When requested, take notes on action items and follow up with the corresponding parties.

Required Skills/Experience:

  • Minimum 2 years of comparable prior experience supporting C-level executives successfully or performing in challenging and demanding financial or legal services, consulting, or large corporate environments.
  • Bachelor’s Degree or equivalent experience and communication skills.
  • Advanced user of Microsoft Office programs (Outlook, Word, PowerPoint, Excel).
  • Proven experience working in a role that demands consistent confidentiality and discretion.
  • Ability to stay on top of multiple priorities and manage precision.
  • Excellent at responsive communications and availability throughout the day.
  • Strong scheduling and coordination skills.
  • Experienced, adept, and creative when planning team events and off-sites.
  • Plans assignments independently and cross-functionally as appropriate.
  • Strong and confident verbal and written communication.
  • Ability to adapt to new technologies, applications, environments.
  • Strong necessity to be agile and deal with fast-paced workplace; able to pivot to meet executive priorities.
  • Engages with executives for multiple requests, leveraging tools for expert follow-up and accuracy.
  • Extreme attention to detail.
  • Ability to work under pressure.
