Summary:

The Accounts Payable Manager will manage and oversee all aspects of the accounts payable function for multiple entities. This individual will provide guidance, training, and development to the Accounts Payable team and foster an environment that encourages ideas within the group to improve efficiency. Successful candidates must be comfortable working in a constantly evolving and dynamic environment while ensuring timely, accurate processing of invoices and disbursements.

Responsibilities:

  • Develop and maintain policies and procedures using best practices over all AP-related functions.
  • Perform full cycle AP processing with 2 day/week vendor check runs and ensure adherence to company guidelines, manage, and monitor positive pay transactions.
  • Approve invoices in a paperless workflow environment in a AP management subsystem, Docupeak, and review, check proper approvals, review of expense line items and ensure they comply with Company policies.
  • Manage set up of new vendors in ERP system according to company guidelines.
  • Monitor AP email Inbox to respond and resolve urgent issues or requests.
  • Manage and coordinate monthly accounts payable close process, including AP and related accruals, investigate any discrepancies discovered during the GL to AP module reconciliation process.
  • Communicate with department heads during month-end and quarter-end to gather accrual information in accordance with internal control procedures.
  • Monitor and review AP Aging Report, outstanding workflows, and unvouchered invoices to proactively address or resolve any past due invoices.
  • Verify and process employee reimbursements.
  • Direct and supervise Form 1099 processing at year-end.
  • Assist the payables team in resolving account discrepancies.
  • Maintain and ensure ongoing compliance with SOX 404 internal control documentation and testing.
  • Other ad-hoc reporting when necessary.

Requirements:

  • B.A. or B.S. degree or equivalent combination of education and experience, a plus, not required.
  • 5+ years of progressive experience in an AP or Accounting environment with 3+ years of leadership experience included
  • Experience working for a public company, preferred.
  • Must have large ERP AP system experience, as well as 1099 filing experience.
  • Excel proficiency (pivot tables, vlookups, etc)
  • Strong PC and business solutions software skills, NetSuite, Certify, and Docupeak experience, a plus, not required.
  • Strong interpersonal skills for interacting with accountants and upper management.
  • Good communication skills for communicating with support personnel and management.
  • Strong analytical and problem-solving skills.
  • Good planning and organizational skills with attention to detail, to balance and prioritize work for the team and yourself.
  • Knowledge of accounting principles, practices, regulations, and procedures as they relate to purchasing and accounts payable and familiarity with financial reports.
