Wage Range: $27.57 - $44.12 per hour.

Job Summary:
Provides high level, complex administrative support to the Executive Director, Medical Directors, and other administrative leadership for the MSK service lines. Represents management and/or unit's goals and interests and provides and/or coordinates functions involved with unit programs and services, budget, space, office and records management, etc. Effectively prioritizes and manages workload to ensure that critical timelines are met, and that accurate work is produced. Provides coordination and management of physician schedule and quality dashboards, while providing administrative support and follow up for MSK and service line projects.

Primary Duties
  1.  Coordinates activities involving the Executive Director, Medical Directors, and other administrative leadership for the MSK and Surgical Services service lines, including full service meeting planning to include Outlook Scheduling, preparing agendas and presentation slides/materials, distribution, meeting set-up and catering, taking and distributing minutes and ongoing management of tasks and follow-up items from the meeting. (Ex. AMB Div WOC)
  2.  Manages the tracking of provider contracts from development and creation through finalization.
  1. Responsible for coordinating, updating any required reviews of policies, procedures, manuals, staff training and development.
  2. Manages various projects for the service line to include obtaining user knowledge related to new EH products/processed, developing workflows and Tip Sheets, preparing training materials, managing roll out plan and communication, responding to questions and unintended roadblocks.
  3. Acquires and abstracts data from numerous internal and external sources in order to develop and maintain MSK and Surgical Services Quality Dashboards.
  4. Tracks provider productivity, operational, financial, and quality metrics to support MSK and Surgical Services leadership contracting and performance appraisal activities.
  5. Extracts meaningful data from raw data sources and summarizes, validates and tabulates aggregate data to produce meaningful reports and then update/disseminate daily, weekly, and monthly (depending on frequency).
  6. Develop training materials and new Manager and Provider onboarding check lists, training materials, etc.
  7. Serves as liaison between MSK/Neuroscience/Surgical service lines leadership and other staff members or departments within/outside the organization. Communicates with all levels of management to transmit information, assignments, and follow up.
  8. Responsible for creating, implementing and maintaining a standard procedure for effective and efficient communication of departmental changes and updates as appropriate.
  9. Responsible for adhering to MSK/Surgical service line budget for obtaining supplies, work orders and processing accounts payable, including tracking and processing of provider CME accounts.
  10. Assists Director’s with annual budget process to include input to budget system, developing spreadsheet for year-over-year comparison, tracking changes/keeping notes that support decision making process, works with decision support department.
  11. Contributes to and supports the improvement of MSK and Surgical Service line efficiencies in a value-based care environment to minimize costs. Example: tracks/reports clinic expired supplies, medications to identify opportunities to implement cost savings measures.
  12. Performs other duties as assigned.
Minimum Qualifications
  • License, Certification, Education or Experience:
REQUIRED for the position:
  •  Associates degree in business, health-related field or equivalent education/experience
  •  3 years of progressively increasing responsibility as an administrative assistant or similar position, with preference for work in a healthcare or related field
  •  Knowledge of medical terminology
  •  Working knowledge and experience with the Microsoft Office Suite (Word, Access, Excel and Power Point) as well as general office procedures and office equipment (copiers, faxes, printers)
 
DESIRED for the position:
  •  Bachelor’s degree, or equivalent education/experience
  •  Experience leading small projects to a successful conclusion
  •  Experience with software, as per department needs (HBOC First Data, Cerner, EMR, HRIS, LaborWorkx)
