Job Summary:

Provides high level, complex administrative support to the Executive Director, Medical Directors, and other administrative leadership for the Heart Care service lines. Represents management and/or unit's goals and interests and provides and/or coordinates functions involved with unit programs and services, budget, space, office and records management, etc. Effectively prioritizes and manages workload to ensure that critical timelines are met, and that accurate work is produced. Provides coordination and management of physician schedule and quality dashboards, while providing administrative support and follow up for assigned service line projects. 
 
Primary Duties:  
  1. Coordinates activities involving the Executive Director, Medical Directors, and other administrative leadership for the assigned service lines, including meeting organization, material preparation and distribution, meeting set-up and catering, note taking and timely distribution of minutes and any other follow up as indicated. Additionally, may provide similar administrative support for the Joint Leadership Council and EvergreenHealth/Overlake Hospital Joint Venture.
  2. Supports development, creation and organization of policies and procedures and ensures appropriate distribution for the assigned service lines. Responsible for coordinating, updating any required reviews of policies, procedures, manuals, staff training and development.
  3. Acquires and abstracts data from numerous internal and external sources in order to develop and maintain dashboards.
  4. Extracts meaningful data from raw data sources and summarizes, validates and tabulates aggregate data to produce meaningful reports and proposals.
  5. Promotes quality public relations between the units, referring practitioners, other organizational departments, and the community, per department standards.
  6. Serves as liaison between assigned service lines leadership and other staff members or departments, transmitting information and assignments and requesting status, per department standards.
  7. Responsible for budget maintenance for the assigned service lines obtaining supplies, work orders and processing accounts payable, including tracking and processing of provider CME accounts.
  8. Contributes to and supports the improvement of assigned service line efficiencies in a value-based care environment to minimize costs.
  9. Partners with clinic leadership in overseeing the development of service line registration and scheduling training curriculum and ongoing coordinator of training new and existing team members as needed.
  10. Tracks provider productivity and quality metrics to support leadership contracting and performance appraisal activities.
  11. Provides coordination and management of physician schedule in both EMR and scheduling software.
  12. Maintains assigned service line SharePoint site(s).
  13. Works collaboratively with HR provider recruiter to schedule physician and APP interview candidates. Creates candidate interview schedules, orders catering and supports day of interview timing.
  14. Onboards new providers to the Heart Care clinic. Including but not limited to office set up, business and bio cards, lab coats, clinic signage, adding resource to Qgenda and scheduling software, group email lists, Heart Care SharePoint page, CME tracking and license tracking spreadsheets.
  15. Assists providers with acquisition of data for reappointment requests.
  16. Works closely with Physician leadership to create and maintain clinic schedules in Qgenda and clinic scheduling software. Updates provider schedules in Qgenda and clinic scheduling software as needed. Notifies key stakeholders when physician call schedules change. 
  17. Monitors EDRS death notices, forwards to physicians, maintains and updates Heart Care EDRS web site group as needed.
  18. Processes provider attestations for quarterly medical director admin hours and APP weekend hours. Obtains and distributes physician quarterly true up letters and RVU graphs.
  19. Performs other duties as assigned. 
License, Certification, Education or Experience:
 
REQUIRED for the position: 
  • Associates degree in business, health-related field or equivalent education/experience
  • 3 years of progressively increasing responsibility as an administrative assistant or similar position, with preference for work in a healthcare or related field.
  • Knowledge of medical terminology
  • Working knowledge and experience with the Microsoft Office Suite (Word, Access, Excel and Power Point) as well as general office procedures and office equipment (copiers, faxes, printers)
 DESIRED for the position:  
  • Bachelor’s degree, or equivalent education/experience.
  • Experience leading small projects to a successful conclusion.
  • Experience with software, as per department needs (HBOC First Data, EPIC, EMR, HRIS, LaborWorkx)
