Clinic Coordinator

Wage Range: $28.26 - $45.23 per hour
Hybrid in Washington State only
Job Summary:
Responsible for the coordination and coverage of the daily office operations, staffing of the front office of EvergreenHealth’s Sleep Disorders Center. Duties include coordinating office systems, patient scheduling, patient flow, medical records, authorization management, referral management, durable medical equipment (DME) billing, quality assurance, assisting with policy and procedure development, program development and implementation, and front and back office organization.
Responsible for the coordination and coverage of the daily office operations, staffing of the front office of EvergreenHealth’s Sleep Disorders Center. Duties include coordinating office systems, patient scheduling, patient flow, medical records, authorization management, referral management, durable medical equipment (DME) billing, quality assurance, assisting with policy and procedure development, program development and implementation, and front and back office organization.
Primary Duties:
1. Assist with developing and implementing efficient office management systems, including problem solving and implementation which address the needs expressed by consumers and EvergreenHealth.
2. Ensures appropriate and adequate administrative and front office staffing for the EH Sleep Disorders Center.
3. Responsible for the timeliness, accuracy and security of the patient medical record documents within the office.
4. Provides oversight of office/business unit activities and communicates issues in a timely fashion to department management.
5. Greets and check in patient and family members on arrival and reviews pre-registration data in the system for accuracy. Monitors scheduled arrival times of patients, following up on patients who have not arrived at scheduled time.
6. Schedules clinic appointments if needed for the Sleep Disorders Center following the standards established by EvergreenHealth. Telephone and in-person screening limited to intake and gathering of information without requiring exercise of judgment based on clinical knowledge.
7. Prepares charts for the following day if needed. Responsible for ensuring medical records and any other needed materials are obtained for the appointments.
8. Responsible for ordering office supplies and food supplies for attended study patients.
9. Processes denials for clinic and professional billing.
10. Provides back-up coverage for Medical Receptionist as needed.
11. Ensures all studies, visits, services, and equipment are covered by insurance to prevent denials.
12. Processes DME billing and completes necessary DME re-authorizations.
13. Functions as trainer for front office staff.
14. Responsible for the timely submittal of monthly QA audits.
15. Maintains database with insurance coverage information and requirements for accepted insurances.
16. Performs other duties as assigned.
License, Certification, Education or Experience:
REQUIRED for the position:
• High School graduate or equivalent
• 3 years of experience in a similar, clinic-based position or equivalent combination of education (Associate degree minimum) and experience
DESIRED for the position:
● Experience in a provider based/clinical setting
● Previous lead or supervisory experience
● Experience with durable medical equipment billing processes
● Experience in the field of sleep medicine
● Experience working with insurance payers in medical setting
