Event Coordinator

Equity Methods is looking for a responsive, energetic, and detail-oriented Event Coordinator to support our growing Marketing and HR Ops team. Our firm hosts a number of internal and external events of varying size and complexity, including but not limited to internal trainings, casual socials, multi-day offsites, out-of-state campus recruiting events, and large-scale client dinners in various cities.

Responsibilities of the Event Coordinator

The Event Coordinator takes ownership in planning and managing event details to ensure each function reflects our Equity Methods values and goals. Whether it’s an internal session for 10 employees or an out-of-state dinner for 150 clients and prospects, each event needs to create a welcoming and professional environment and show thoughtfulness and high attention to detail in planning.

The successful Event Coordinator will:

  • Work closely with internal stakeholders to understand individual event goals and develop proposed programs that match the business objectives
  • Communicate proactively with internal and external stakeholders while managing across a consensus-based decision-making environment
  • Exercise flexibility in response to changing circumstances and business priorities
  • Demonstrate superb research and vetting skills to select venues and vendors (catering, decorators, musicians etc.) to drive the best outcomes in quality, cost, and event execution
  • Exhibit outstanding project managements skills in coordinating across a portfolio of event deadlines without compromising attention to detail and accuracy
  • Pack and ship necessary supplies to event locations with consideration to timing, cost, and risk
  • Develop and follow event day checklists (e.g. tables, technology, timing) to ensure everything meets standards and the execution conforms to the plan
  • Oversee event happenings and act quickly to prevent and resolve problems in real-time
  • Evaluate event success, collect feedback from stakeholders, and drive continuous improvement in the function

 

Required Skills and Qualifications:

  • Proven experience as an event coordinator with a track record of successful event experience
  • High proficiency in MS Office, especially email management/organization and spreadsheet use
  • Collaborative mentality that is comfortable with proactively seeking out guidance and from internal stakeholders and pivoting decision-making based on feedback
  • Excellent vendor management skills (likability, accountability, negotiation, etc.)
  • Outstanding written and verbal communication
  • Well-organized with multi-tasking skills to track and manage shifting deadlines across multiple events
  • Resourceful and proactive; thrives in a fast-paced environment
  • Ability to creatively problem-solve and work competently in the midst of changing circumstances
  • Capacity for limited travel out of state (less than 10%)
  • Ability to lift and move 25 pounds and use shelving with ladders
  • A minimum of 3 years’ experience working in event coordination capacity
  • Bachelor’s (or higher) degree
