POSITION SUMMARY: 
The Dental Coordinator serves as an advocate and educator in creating treatment plans for dental care. The role is essential in securing treatment plans and coordination of financial resources and/or insurance requirements and billing practices. Additionally, this role includes the greeting of patients, scheduling appointments, answering phones, and other reception/front desk duties, as required. The Dental Coordinator exhibits an efficient, knowledgeable and positive countenance to every patient experience. 
SALARY: $42,500-$53,100
MAJOR AREAS OF RESPONSIBILITIES: 
  • Conduct interview to understand the patient’s oral health history, concerns, and objectives 
  • Conduct all prior authorizations across any designated clinics 
  • Explain the treatment plan, address patient concerns and answer any questions 
  • Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment 
  • Build trust, and understand the patient’s objectives 
  • Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented in coordination with the medical center financial counselors. 
  • Manage and maintain the payment options and policies for patients to uphold the practice’s financial integrity. 
  • Understand the practice’s policy on working with dental benefit plans and be prepared to educate patients on their dental benefits. 
  • Communicate with all outside and third-party financing companies offered to patients and educate patients on the available outside financing options. 
  • Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented. 
  • Greet and check patients in and out before and after treatment. 
  • Answer incoming calls to include, new patient calls, emergencies, scheduling patient appointments, requesting records, and follow up. 
  • Perform general office duties and other duties as required. 
  • Update patient information on an as-needed basis.  
  • Verify patient appointments via phone two days before the appointment, and updating the patients’ record or the status of the phone call. 
  • Scan all patient paperwork and outside documents into the Electronic Health Record (EHR) to ensure that it is organized and easily accessible. 
  • Manage tasks assigned by members of the Dental team that may include, making referrals, scheduling Specialist appointments, and coordinating with Case Management staff concerning appointments for their clients. 
  • Manage any Medical records that come in via fax or mail, by organizing and distributing to a member of the Medical team. 
  • Call “no show” appointments within one day of the time of the “no show” appointment. 
  • Assist in planning, managing and coordinating patient flow in clinic areas, and day-to-day operations of the clinic to ensure high quality service provision. 
  
  • Prepare and maintain health services patient/client records in compliance with HIPAA government regulations and in accordance with Equitas Health provider standards to ensure efficient services. 
  • Comply with the Equitas Health Healthcare Corporate Compliance Standards of Conduct and related policies and procedures.

EDUCATION/LICENSURE: 
  • High school diploma is required. 
  
Knowledge, Skills, Abilities and other Qualifications: 
  • 2 or more years of front office dental experience required 
  • Computer proficiency and the ability to learn new programs to include Microsoft Office Suite 
  • Knowledge and experience with dental treatment plans and insurance requirements required 
  • Experience with Dentrix preferred 
  • Demonstrated exemplary customer service skills. 
  • Working knowledge of secretarial procedures and organizational policies and procedures. 
  • Experience with EMR (Electronic Medical Record) and medical/dental billing software preferred. 
  • Effective communication skills. 
  • Ability to establish and maintain effective working relationships with patients, medical staff, coworkers and the public. 
  • Excellent organizational skills with an ability to prioritize and manage multiple tasks. 
  • Ability to work efficiently without constant supervision and exercise a degree of initiative and judgment. 
  • Work well under pressure and possess the ability to be flexible. 
  • Team player with strong communication and interpersonal skills.
