POSITION SUMMARY:
The Human Resources Operations Supervisor will ensure overall compliance with existing HR policies and established practices on a wide scale throughout the organization’s locations. This role will be the main contact for Human Resources regarding any data requests, including audits and ad-hoc reporting. Collaborates with stakeholders to provide consultation, process standardization, implementation assistance, performance management, compliance, and training opportunities.
SALARY:$70,400-$88,000

MAJOR AREAS OF RESPONSIBILITIES:
Administrative Support
- Provide administrative support to the Associate Director of Human Resources, including but not limited to filing, data entry, document maintenance, calendar management, and other HR projects as assigned.
- Work with HRIS system and Excel to generate required reports on a weekly, monthly, and “as needed” basis.
- Provide Human Resources materials for community events, i.e. - job fairs.
- Optimize HR Operations and processes within onboarding, hiring, terminations, and other data management in the employee life cycle.
- Assists in aligning HR policies and procedures with the Organization's vision and mission.
- Implement performance management systems and processes that foster employee growth.
- Provide support to other areas of HR Administration and Operations as needed.
New Hire Coordination
- Supervises onboarding and new hire compliance, including keeping all new hire materials up to date in HRIS.
- Manages the selection, onboarding, and compliance of internships, clinical rotations, work-study (fee waivers), and other programs.
- Follow-up with employees' contracts, renewals, resignations, and hiring documents to ensure that employees’ files are complete and accurate.
Auditing/Compliance
- Oversees LMS in Compliance system for new hire compliance training, annual compliance training, and vaccination tracking.
- Act as an HR point of contact for HRSA, 340B, and all other auditing processes.
- Assist in HR internal auditing, compliance investigations, or other activities related to Human Resources and employment/employees.
- Take part Contribute to developing and maintaining internal HR policies and compliance procedures, maintaining up-to-date SOPs for departmental processes.
- Ensures HR Compliance with funding and grant requirements, including training, licensure, etc.
Records Management
- Oversee and maintain archived paper files and electronic employee files; manage the department's retention policy regarding employee and Departmental files.
- Act as the point of contact for HR inquiries and requests regarding internal systems, including PrismHR, UKG, DynaFile, HSI.
- Manages Unemployment claims & verifies for accuracy (interview notes, resumes, etc.)
- Manage and respond to any external requests for information, including employment verification, reference checks and loan forgiveness forms.
Knowledge, Skills, Abilities, and other Qualifications:
- Must have at least four years’ experience in an office setting, previous work in a Human Resources field preferred.
- Previous experience maintaining a human resources information system is preferred.
- Knowledge of payroll principles, practices, regulations, and procedures.
- Knowledge of the practice, methods, and techniques of process improvement
- Must have sensitivity to, interest in and competence in cultural differences, HIV/AIDS, minority health, sexual practices, chemical dependency, and a demonstrated competence in working with persons of color, and gay/lesbian/bisexual/transgender community.
- Ability to effectively respond to and interact with all organization staff. Competencies include excellent organizational, analytical, interpersonal, and written/oral communication skills.
- Requires high level computer expertise, including proficiency with all Microsoft Office applications; use of database, word processing, spreadsheet, and presentation applications.
- Be flexible, innovative and excel in a fast paced, growth-oriented, and time-critical environment.
- Possess excellent organizational skills with an ability to prioritize and manage multiple tasks and a variety of demands and work efficiently without constant supervision.
