Office Assistant- Onsite W2 only 

Location: Franklin -TN  -Onsite -5 days a week.
Type: 1 year Contract (Likely to get permanent based on Performance. 
Industry: Gaming 

Rate : $12/hr + Benefits 

 

 

Our client is seeking an energetic, enthusiastic, and well-organized individual who would like to 
work in a multi-disciplinary environment as an Office Assistant.
The Office Assistant oversees the overall operation and maintenance of the office.  
This person will provide administrative support ensuring day-to-day functions around the office run 
smoothly, planning and coordinating office events, supporting the front-office activities, and more.  
This individual will also oversee the Barista and coffee bar and may help with preparing and 
serving hot or cold beverages. 

Responsibilities: 

Provide administrative support and serve as a first point of contact for the office, providing 
excellent customer service, and maintaining vender relations. 
• Maintain all aspects of front office/reception area, including logging visitors and issuing 
temporary badges as needed. 
• Face of the company; maintains efficient, friendly service. 
• Coordinate all incoming and outgoing mail, shipments, and express mail services. 
• Greet all employees with fast, friendly, personalized service and develops a rapport. 
• Order and maintain adequate inventory of office equipment and supplies.  
• Order and stock all break room/kitchen supplies as needed. 
• Call maintenance / service orders. 
• Coordinate the lunch program by selecting vendors, managing orders, and processing 
expenses. 
• Compile, analyze and prepare general reports. 
• Review and track invoices / prepare expense reports.  
• Oversee the scheduling, maintenance, and monitoring of all heating, ventilating, air 
conditioning, water, electric, security, and other systems to ensure efficient operation  
• Assist with set up of office space for new hires and moves for existing associates; cubicle 
installs, dismantling and reconfiguration; and moving furniture. 
• Assist with safety initiatives including participating on safety committee, safety audits, and 
other projects as assigned. 
• Support maintenance of security for facilities; respond to associate emergencies such as 
medical, theft and other incidents. 
• Coordinate with outside vendors and service contractors relative to facilities and 
maintenance projects including obtaining and evaluating bids, scheduling work and 
following up to ensure jobs are done on time and meet project requirements. 
• Ensure Barista operations run smooth and efficient; assist as needed:  
o Maintain inventories by replenishing coffee bean supply; stocking coffee brewing 
equipment; maintaining supplies for coffee bar. 
o Keep equipment operating by following operating instructions; troubleshooting 
breakdowns; maintaining supplies; performing preventive maintenance; calling for 
repairs. 
o Maintain safe and healthy work environment by following organization standards and 
sanitation regulations. 
o Run errands, when needed, to pick up supplies and/or product. 
• Complete other duties as assigned. 

Requirement: 

Excellent communication skills and attention to detail. 
Must be highly organized and able to perform clerical duties. 
Must be computer savvy, with knowledge of MS Word, Excel, Access, Power Point, and 
Outlook. 
Must have the ability to manage multiple tasks; strong time management skills, and the 
ability to prioritize tasks. 
 A positive attitude and willingness to help. 
Able to work independently and be team oriented. 
Possession of or ability to obtain a valid Tennessee driver’s license is required 
Ability to effectively respond to facilities needs of associates and management 
High School Diploma required.  Associates Degree from two-year college or technical 
school preferred.
