What you’d be responsible for

  • Supervision and oversight of the administrative team.
  • Establish team objectives and goals
  • Manage office supplies through administrative team delegation ensuring that needs are met through monitoring new or replenished item.
  •   Monitor spending / budgets for office supplies identifying variances or adjustments needed.
  • Coordinate with other teams on planning and organizing in-house activities such as meetings, events, and conferences.
  • As part of the project team, participate in the office relocations.
  • Oversee the maintenance and repair of office facilities, including HVAC, plumbing, and electrical systems.
  • Coordinate with external vendors for facility services such as cleaning, pest control, coffee and water suppliers, security and equipment maintenance.
  • Conduct regular inspections with Safety to ensure the office environment meets health and safety standards. 
  • Address and resolve any office related or facility issues, establish strong relationships with external vendors to ensure prompt and effective service.
  • Manage space allocation and office layout planning.
  • Handle emergency repairs and maintenance issues promptly.
  • Ensure compliance with building regulations and safety codes.
  • Establish processes and tools to create efficiencies for optimal office functioning.

 

What’s required to be successful:

  • High School Diploma; Bachelor’s Degree in Business Administration, Management or a related field.  An equivalent combination of Education and Experience may be considered.
  • A minimum of 5 years of experience in the following areas:
  • Proven experience as an Office Manager or in a similar administrative role.
  • Experience in facilities management or related field.
  • Experience in a supervisory or managerial role preferred.
  • Ability to work in a fast-paced environment with quickly changing priorities.
  • Solid organizational skills, accuracy and attention to detail.
  • Ability to develop and maintain strong relationships across the organization. 
  • Ability to assess opportunities for process improvement and implement accordingly.
  • Proficient in office software (e.g. MS Office Suite)
  • Certified Administrative Professional (CAP) or Office Management Certificate a plus

  • Frequent sitting and standing in office/desk; frequent reaching, handling paperwork/files, and operating computer and other office equipment; frequent speaking, listening, seeing; occasionally lifting up to 15 pounds.
