POSITION SUMMARY

This role supports Entrepreneurs’ Organization. Employment may be through a local employing entity or employer-of-record partner, depending on the hiring location.

 

The Coordinator supports the high-level operational oversight of EO’s global trainer networks and the end-to-end administrative management of the Path of Leadership (PoL). This role ensures the smooth administration, tracking, and coordination of trainer contracts, documentation, and compensation monitoring while also supporting the management of applications, reporting, communication and system updates related to the Path of Leadership.

 

The Coordinator serves as a key operational partner to internal teams and staff liaisons by maintaining accurate records, managing application workflows, tracking contracts and documentation, and supporting reporting and communication processes. This role requires exceptional organization, attention to detail, and the ability to manage multiple systems, deadlines, and stakeholders in a global environment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate and manage the administrative operations of the Path of Leadership (PoL) program end-to-end, including registrations, reminders, data reporting, website updates, sending program communications and responding to member inquiries.
  • Create, activate, deactivate, and manage annual and ad-hoc PoL application forms
  • Consolidate applications and manage documentation required for due diligence checks, ensuring secure storage of sensitive information.
  • Prepare and send acceptance letters for approved member leaders.
  • Maintain and verify PoL application trackers to ensure outcomes are communicated and follow up with staff liaisons where information is missing.
  • Maintain and update Path of Leadership (PoL) member records within EO systems, ensuring leadership roles and historical data are accurately reflected in member profiles.
  • Assist Leadership team as needed
  • Respond quickly (within 24 hours during work hours) to staff requests for support and member inquiries
  • Provide translation support by collaborating with translation team, and distributing translated materials.
  • Maintain impeccable records, highly responsive communication, and high-quality communication among projects and constituents. 
  • Enhance the visual quality and usability of materials including flyers, presentations, pre-reads, reports, and reference documents by improving layout, formatting, and visual consistency using Canva and presentation tools.
  • Respond to general inquiries and escalate emails as need from designated pol inbox.
  • Compile end-of-year trainer data and produce the annual trainer report.
  • Distribute annual trainer invitation letters.
  • Maintain the master Trainer and Facilitator tracking systems, ensuring records are accurate and coordinating with trainers and staff teams to update information as needed.

QUALIFICATIONS, SKILLS, AND KNOWLEDGE REQUIRED

  • Bachelor’s degree or equivalent relevant experience in program development and execution.
  • Minimum of 3 years of professional experience, preferably in an international environment.
  • Project management experience, demonstrating the ability to organize people and programs and coordinate marketing efforts effectively.
  • Superb customer service skills, with a dedication to providing outstanding support and assistance to internal and external stakeholders.
  • High proficiency in systems and tools such as survey platforms, expense reimbursement, Learning Management Systems, collaboration, project management tools, CRM, Monday.com, etc.
  • Proficiency with Canva or similar design tools preferred.
  • Ability to work with high accountability and with quick deadlines.
  • Proven ability to work collaboratively in teams with high accountability, ensuring successful outcomes.
  • Exceptional organization and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Strong written and verbal communication skills in English; fluency in other languages is preferred.
  • Comfort and proficiency in working across cultures, geographies, and time zones.
  • Detail-oriented with a growth mindset, eagerness to learn, and flexibility.
  • International experience is preferred, showcasing adaptability and cultural awareness.

POSTING DISCLOSURES

Compensation: South Africa: 400,000-540,000 ZAR

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS / ROLE CONDITIONS

  • This role is primarily sedentary/light work and requires regular use of a computer, telephone, and video-conference platforms.
  • The role requires the ability to communicate effectively in writing and verbally and to participate in virtual and in-person meetings.
  • The role requires travel up to 5%
  • The role requires occasional early morning/evening meetings across time zones
  • The role requires lifting/moving up to 5 kgs, as applicable.
