Description
- Base Access & Lodging Support
- Process and track military base passes for staff, visitors, and contractors.
- Assist employees and visitors in securing lodging or apartment accommodations, including coordinating with local housing providers.
- Manage apartment billing and utilities invoices, ensuring timely processing and accurate recordkeeping.
- Administrative & Document Management
- Prepare, update, and distribute construction-related documents, reports, and logs.
- Manage incoming and outgoing mail, faxes, and deliveries.
- Perform general office tasks such as photocopying, filing, and maintaining office supplies.
- Compile and synthesize data from multiple sources to prepare professional documents and reports.
- Travel & Scheduling
- Coordinate domestic and international travel arrangements, as needed, while ensuring efficient use of company resources.
- Manage and maintain staff calendars, organize schedules, and arrange in-person and virtual meetings.
- Financial & Project Coordination
- Prepare, track, and route project-related invoices for internal processing.
- Support procurement staff with project-related purchasing activities.
- Assist in completing progress reports, schedule updates, and expense reports accurately and on time.
- Communication & Client Relations
- Draft and prepare routine correspondence in a professional and timely manner.
- Interface with clients and stakeholders, representing the company with professionalism and courtesy.
- Collaborate effectively with remote teams and multiple project locations.
- Proven ability to work effectively with colleagues across multiple locations and time zones.
- Demonstrated commitment to dependable and professional service.
- Strong attention to detail and accuracy when managing large volumes of data.
- Ability to meet tight deadlines and respond to critical requests promptly.
- Proficient in Microsoft Office Suite, email systems, and internet-based tools.
- Minimum of one year of experience as an Administrative Assistant (experience with Government contracting programs preferred).
- High School diploma or equivalent required (a combination of education and experience may substitute).
