One-Year Prospect Development Analyst

The One-Year Prospect Development Analyst coordinates aspects of data entry, relationship management, and hygiene for the Planned Giving team's growing portfolios. This position works closely with Planned Giving officers to help them execute on donor strategies, activities, and solicitations for legacy donors and prospects in their portfolios. This position works both in an administrative capacity to ensure timely and accurate data entry of strategic donor activities and in a strategic capacity to monitor, report out, and provide insights to help the team achieve its fundraising goals and performance metrics.
The Analyst works hand-in-hand with the Planned Giving team as an embedded partner attending their team meetings and coordinating with their team to lead the Planned Giving Team's Moves Management process by scheduling and facilitating bi-annual portfolio meetings, top prospect reviews, prospect pool management, donor strategy sessions, annual budgeting, and the annual goal-setting processes.
This is a non-supervisory position.
The One-Year Prospect Development Analyst is expected to work a full-time (37.5 hours/week) schedule, and may work hybrid or remote from the following locations: San Francisco, CA, Washington, DC, or Remote Contiguous U.S. The successful candidate will work for 12 months with an anticipated start date in December or later.
WHAT YOU'LL DO
Portfolio Management (40%)
- Lead portfolio management for the Planned Giving team, including monthly tactical meetings, as well as planning and facilitating bi-annual portfolio review meetings, preparing agendas and materials, and coordinating and executing follow-up actions to drive donor movement toward legacy commitments, asset-based giving, and long-term revenue growth.
- Partner with Planned Giving officers to develop, refine, and track donor strategies, cultivation plans, and engagement activities across the full planned giving cycle, from qualification through documented gift intention and ongoing stewardship, ensuring adherence to moves management best practices and a consistent, high-quality donor experience.
- Monitor and report on portfolio performance tracking future estate gift expectancies, documented intentions, realized bequests, asset-based giving, and solicitation activity; supporting annual goal setting; and sharing progress and insights with leadership and Planned Giving officers. Pull prospect list reports for PG prospect cultivation activities.
Prospect Development Systems (20%)
- Manage planned giving prospect activity in collaboration with Prospect Development colleagues, including prospect referral, assignment, tracking, and portfolio integrity, and coordinate blended gift opportunities by partnering with Major Gifts and Mid-level teams on referral protocols, dual assignments, and shared donor strategies.
- Ensure high standards of data quality and system use by maintaining accurate and complete donor records, including gift vehicle details (bequests, charitable gift annuities, charitable remainder trusts, beneficiary designations, gifts of appreciated assets), estate administration, supporting data hygiene initiatives, and ensuring compliance with departmental and organizational policies and procedures.
- Collaborate cross-functionally as an embedded team member of the Planned Gifts team attending their team meetings and strategic planning sessions, and in coordination with Development Operations and fundraising teams to strengthen prospect development workflows, reporting, and communications, including supporting the transition to a new CRM in FY27–FY28 with attention to planned giving data structures and tracking needs.
Prospect Research (20%)
- Conduct proactive and responsive planned giving prospect identification and research by analyzing biographic, financial, philanthropic, and news-based information, along with legacy propensity indicators such as giving longevity and consistency, age, life-stage signals, and engagement history, to identify individuals with the capacity and inclination to make planned gifts.
- Support legacy prospect modeling and lead management by helping develop and refine screening criteria and scoring approaches that surface bequest, life-income, and asset-based gift prospects; tracking responses from direct mail, email campaigns, bequest surveys, and online legacy giving platforms; and routing qualified leads to Planned Giving officers for follow-up.
- Prepare clear, concise prospect profiles and briefings that translate research into actionable insights, including relevant context on potential gift vehicles, and collaborate with Planned Giving officers and development staff to support qualification, cultivation, solicitation, and stewardship strategies, ensuring research data is recorded in the database and other record-keeping systems.
Data Entry & Integrity for Planned Giving Team (15%)
- Ensure accurate and timely entry of donor engagement and planned gift data in the CRM, including plans, solicitations, opportunities, contact reports, ratings, gift intentions, expectancies, gift vehicle details, estimated and realized values, and legacy society membership..
- Support budgeting and revenue forecasting by partnering with the Planned Giving team to develop fiscal year budgets, including projections for expectancies and realized planned gift revenue, and ensure accurate entry and tracking of budget and giving data.
- Improve data management systems and processes by identifying efficiency-building tools and collaborating with the wider Prospect Development team and Development Operations to implement and refine departmental data management practices.

WHAT YOU'LL BRING
- Bachelor’s degree or associate degree and 4+ years of relevant experience, including 2+ years of experience in prospect management and preferably with planned giving operations.
- Proven ability to assess priorities and manage a variety of complex activities simultaneously with excellent time management and to coalesce a team around shared goals.
- Interpersonal communication skills with aptitude to listen and ability to understand the needs and interests of donors to develop their relationship with Earthjustice.
- Attention to detail, advanced analytical and problem-solving skills with the ability to think big picture, creatively and strategically.
- Proficiency in Microsoft Office, including advanced Excel; solid skills in Word, Outlook, and PowerPoint.
- Expertise in CRM and database systems (e.g., Salesforce NPSP), including querying, reporting, and advanced functions; and familiarity with business intelligence and analytical tools such as Tableau.
- Effective communicator with strong interpersonal skills, exercising diplomacy, discretion, and sound judgment when working with diverse stakeholders and confidential data.

Salaries at Earthjustice are determined by working location and are commensurate with the experience required.
The annual salary range for this role in San Francisco, CA or New York, NY is $88,600 - $98,400.
The annual salary range for this role in Washington, DC, Chicago, IL, Seattle, WA, or Los Angeles, CA is $84,200 - $93,500.
The annual salary range for this role in Denver, CO or Philadelphia, PA is $79,700 - $88,600.
The annual salary range for this role in Miami, FL or Atlanta, GA or is $75,300 - $83,700.
