Description

This is an exciting opportunity to work for one of the top law firms in the U.S.! Davis Wright Tremaine LLP is looking for an Operations Manager to join our team in our Anchorage office. This is an essential position that will require five day in-office. 
 
The Office Manager reports directly to the Seattle Office Administrator and is a hands-on leader responsible for managing office operations, supervising legal assistants and staff, and maintaining relationships with building management and vendors. Key duties include personnel management, such as hiring, onboarding, performance management, and staff development, as well as overseeing office operations, emergency preparedness, and event management. The role involves managing budgets, handling financial transactions, and providing general administrative support. The Office Manager collaborates with the office managing partner to drive office engagement and culture, fostering a positive team environment. Responsibilities also include executing office, department, and firm goals, and serving as a liaison between the office, other firm departments, and external business contacts and vendors. The position requires strong problem-solving skills, attention to detail, and the ability to handle multiple projects simultaneously.

On a typical day you will:
Personnel Management
  • Supervise legal assistants, operations, and hospitality staff, including hiring, complaint resolution, staffing levels, coverage, scheduling, and performance management
  • Partner with the Seattle Office Administrator for check-ins, goal-setting, compensation determination, coaching, and handling employee relations issues
  • Motivate staff, promote positive change, and facilitate necessary training for legal assistant staff development
  • Ensure legal assistant staff work product is timely, accurate, and meets the needs of attorneys, paralegals, and clients
  • Approach challenges proactively and solve problems effectively
  • Manage complex workflow efficiently; track overtime usage for budget management
  • Understand attorneys’ client service needs; identify opportunities for legal assistants to contribute to client relationship success; offer solutions and participate in actions to reach goals
Office Operations
  • Develop office operating policies and procedures as needed
  • Oversee and act as point of contact for office/facilities maintenance, furniture moves, and community space supplies
  • Maintain a collaborative relationship with building management for building-related issues, including security and maintenance requests
  • Facilitate internal communications regarding office events, closures, and coverage
  • Interface with firm-wide administration departments (e.g., accounting, human resources, systems, central records, marketing) and office
  • Maintain positive relationships with office and firm-wide departments, vendors, and community contacts
  • Oversee local emergency preparedness plans and updates, including CPR training/certifications, AED equipment, emergency evacuation kits, and floor wardens
  • Assist AV team and Office Services Assistant in setting up and facilitating video conferencing and depositions; provide logistical and hospitality support for in-office meetings
  • Manage office and workstation onboarding setup for attorneys and staff; facilitate internal moves according to business needs
  • Coordinate onboarding and integration for new employees
Event Management
  • Plan, execute, and coordinate office/client internal events with Partner-In-Charge, Practice Management, Marketing Department, IT Department, and Office Administrator
  • Manage internal events and community building for Anchorage office; design events to engage employees and build camaraderie
  • Collaborate with the firm’s marketing team for external event planning and execution
  • Procure venue, food and beverage selection, audio-visual services, entertainment, décor, and other services as needed
  • Manage relationships with vendors, prepare for and direct event set-up and break-down
  • Maintain knowledge of Anchorage area caterers, restaurants, hotels, and venues; cultivate relationships with vendors
  • Track firm-wide events for scheduling purposes of Anchorage events
  • Keep accurate records of attendance and expenses for budget forecasting
  • Negotiate and manage vendor contracts; create budgets and analyze cost projections for events; execute events adhering to budget projections
Financial Management
  • Propose and adhere to budgets for Anchorage office events; draft and monitor budgets, review and process office invoices and expenses related to support services functions
  • Assist with yearly budgeting projections for the Anchorage office
  • Monitor and manage office budget throughout the year, including controlling expenses and performing variance analysis
General Administrative Support
  • Direct new client calls to appropriate resources based on knowledge of Alaska Attorney practices; refer externally as needed
  • Partner with Practice Management, Marketing, and Seattle Office Administrator to maintain and update Alaska marketing materials
  • Research and recommend internal process improvements for efficiency
  • Other duties as assigned

Join us if you have:

  • 3+ years of event planning and project management experience; demonstrated abilities in implementing efficient processes and impromptu problem-solving required
  • Prior professional office experience required, law firm experience preferred
  • Proficiency with Microsoft Word, Excel, PowerPoint, and other event management software as appropriate (Windows OS, Microsoft Office Suite, etc.)
  • Exceptional organizational, interpersonal, and customer service skills required. Ability to handle stressful situations in a calm, composed manner while maintaining focus on the objectives at hand is required
  • Demonstrated ability to be self-motivated and able to handle multiple projects simultaneously, work under pressure, and meet deadlines
  • High degree of initiative and creativity
  • Excellent communication and interpersonal skills, including the ability to maintain effective working relationships and communicate verbally and in writing in a professional, courteous manner with clients, outside contacts, lawyers, and staff
  • Ability to pay close attention to detail and use resources effectively and efficiently
  • Strong problem-solving skills with attention to detail and quality control are required
  • Must be flexible and able to handle multiple assignments as well as adjust to shifting priorities
  • Team-first and client-first mentality
  • Strong troubleshooting, decision-making, follow-up, follow-through, and priority setting skills are required. Demonstrated ability to practice good judgment
  • Possess a flexible approach to the work environment and regular work schedule to ensure that business needs are met both during and outside of normal business hours to ensure coverage for urgent requests and events
  • Ability to work discreetly with highly confidential and sensitive information
  • Ability to work independently, with minimum supervision, required
