Executive Assistant
Description
- Manages sensitive matters with a high level of confidentiality and discretion, especially decisions impacting firm operations
- Navigates dynamic political situations with excellent judgment and situational awareness
- Works closely with managers or project leaders to facilitate timely and effective implementation of strategic plans and objectives
- Provides support, including drafting reports, creating/maintaining spreadsheets, and preparing presentations
- Coordinates meetings and seminars, taking the lead in logistics and engaging vendors for successful events
- Analyzes and reviews contract proposals from various vendors, performing cost analysis against the budget
- Participates in department, committee, and firm meetings, preparing agendas and reviewing meeting materials
- Reviews and tracks budget information, analyzing data, creating reports, and presenting findings to management
- Works proactively with lawyers, firm management, and various departments on short- and long-term projects
- Responsible for timely and effective project implementation, managing timelines and executing simultaneous deliverables
- Successfully completes aspects of deliverables with a proactive approach, including drafting letters and preparing reports
- Prepares internal and external communications and materials on behalf of managers, departments, and practice area leadership
- Prepares Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents
- Arranges travel and accommodations for executives, handling expense reports
- Screens incoming calls, takes accurate messages, and responds to requests; handles extensive client and business contacts
- Plans, coordinates, and manages Outlook calendars, resolves scheduling conflicts, and coordinates complex travel itineraries
- Proactively keeps managers informed of upcoming commitments and responsibilities
- Prepares agendas, reports, and presentations; composes sometimes confidential correspondence
- Develops and maintains professional relationships, ensuring efficient teamwork and providing clear direction and feedback
- Coordinates department meetings, taking the lead in logistics and engaging the appropriate parties to ensure a successful meeting
- Maintains paper and electronic filing systems, ensuring compliance with Information Governance policies
- Partners with billing and collections departments, monitoring budgets for reporting purposes
- Other duties as assigned
Join us if you have:
- Excellent written and verbal communication skills
- 3+ years’ experience as an executive-level assistant, preferably in a law firm or other professional services organization
- Prior project coordination experience
- Demonstrated proficiency with MS Office Products (Outlook, Word, Excel, PowerPoint, Visio, Teams) required. Working knowledge of document management systems preferred
- Exceptional grammar, proofreading and organizational skills
- Ability to maintain composure, communicate clearly, and handle stressful situations in a professional manner
- Strong empathy and diplomacy to understand and respond to the needs of others
- Demonstrated change agility to balance competing priorities and adapt to changing business needs
- Demonstrated high degree of attention to detail and confidentiality
- Willingness to adapt to and learn new technology, software programs, and upgrades
- Willingness to work in a team-oriented environment
- Ability to understand and follow work instructions with minimal supervision, and regularly update status reports

Washington State
The annualized salary range for this position in Washington is $96,000 to $107,000 ($49.23-$54.87 hourly). Actual pay will be adjusted based on the candidate’s education, training, experience and other job-related factors permitted by law. Full time employees may be eligible for a bonus, health insurance with an optional HSA, long term disability, dental insurance, vision care, telemedicine and virtual short term solution based counseling services, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, subsidized backup care and caregiving resources, 401(k), vacation, sick time, 11 paid holidays each year and an employee assistance program. For full-time employees, the initial vacation benefit is 15 days per year and 11 days of sick leave per year, accrued bi-weekly. Additional voluntary programs include: voluntary accident insurance, voluntary life, voluntary disability, voluntary long term care, and pet insurance. Commuter and Transit programs are also available.
