We are currently seeking a Document Retrieval/Abstractor to join our Operations team. This role offers the opportunity to join a rapidly growing company delivering industry-leading solutions to customers in the world’s most dynamic and fastest-growing sector.    
 
Duties:
  • Customer Service:  Interface with clients, answer questions, and maintain client relationships
  • Assist co-workers with retrievals with a priority on excellent focus and delivery
  • Administrative Functions:  Candidate will pick up and deliver documents from a variety of public agencies such as Harris County Clerk’s office, Harris County Tax office, Harris County Commissioner’s Court, Harris County Engineers, District Clerk’s office, District Clerk warehouse, County Clerk’s warehouse, Civil Courts, Criminal Justice Center, Probate Court, Federal Court, City of Houston, City Hall Annex, Texas Dept. of Transportation, and Harris County Flood Control.
  • Answer phones, type reports, maintain work flow, and possible filing.
  • Must be familiar with downtown Houston and be able to locate appropriate office for pickup and delivery.
  • Familiarity with public records is helpful.
  • Previous experience with a “hot-shot” delivery service helpful.
  • Previous experience working with any of the agencies listed above helpful.
 
  • Abstracting: Research Property/Public records to obtain information including ownership, liens, easements, road right of ways, leases, mineral information, etc.
  • Customer Service:  Interface with clients, answer questions, maintain client relationships, accept client orders, provide instruction to clients regarding ordering and utilizing systems.
  • Administrative Functions:  Answer phones, type reports, maintain workflow, filing, marketing, prepare jobs for invoicing, etc.
  • Manage data:  Receive and send work to clients.
 
Skills:
  • Excellent computer skills and phone communication skills are a must. 
  • Extreme patience level and ability to handle all clients (via phone or email) with the goal of complete customer satisfaction
  • Mastery of Excel, Word, and Outlook email.  Ability to navigate the Internet.
  • Minimum 40 WPM typing
  • Excellent organizational skills
  • Must be able to multi-task and work in a fast-paced environment.
  • Team player with a super attitude; creative, motivated, people-person.
  • Reliable Transportation; good attendance required.
  • Familiarity with land title records, deeds, deeds of trust, etc.
  • Ability to extract detailed information from property or other public records online or from the Courthouse and interpret such data to meet the clients need.
  • Must possess excellent computer and phone communication skills.  Knowledge of Excel, Word, and Outlook is preferred.  Ability to navigate the Internet is required.

Experience / Education:
  • 2 years minimum experience in Land Records Research and Client Relations
  • 1-year minimum experience in administration, systems management, or systems support 
  • High school diploma minimum; some college is preferred
 
Other:
  • Travel required (mileage reimbursement)
  • Bi-lingual a plus
 
Bonus Skills: (Not Required)
  • Title Industry:  Familiarity with land title records (deeds, deeds of trust, plats, etc.) is a plus
 

This role is eligible for: Variable Compensation

Salary Range: $23.00/hour
