JOB SUMMARY

 

This is a full-time position. Days and hours are Monday through Friday, 8a.m. to 5p.m.

Extended work hours may be required as job duties demand.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with the accurate information
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner
  • Composes and types of routine correspondence
  • Reads and routes incoming mail, faxes, and courier deliveries for distribution
  • Ensure the timely distribution of material to management and other staff
  • Prepare and send reports, memos, outgoing faxes, mail, and documents
  • Forward incoming general e-mails to the appropriate staff member
  • Forward voice mail from the general mailbox to the appropriate staff member
  • Collects meter data to determine proper accounting via outgoing phone calls and emails
  • Ensures contract billing specific to client needs are met daily

MANAGEMENT AND SUPERVISORY RESPONSIBILITY

KNOWLEDGE REQUIREMENTS

 

  • Ability to establish and maintain effective working relationships with employees, businesses and community. Ability to communicate clearly and concisely both in oral and written form.
  • Ability to perform duties with awareness and in accordance with the organization's policies and applicable laws.
  • Position requires extremely perceptive person, who can relate to individuals at all levels. As unique situations present themselves, the incumbent must be sensitive to corporate needs and the public image.
  • Completes additional tasks and assignments as requested by the Regional Administrative Director or Manager.

 

EDUCATION AND EXPERIENCE REQUIREMENTS

 

  • High School Diploma or GED; Associate degree (A. A.).
  • 1-3 years of related experience and/or training; or equivalent combination of education and experience.

 

 

 

 

 

WORKING CONDITIONS

 

 

  •  Regular business hours. Some additional hours may be required.
  • Travel requirements: Domestic and/ or International: Up to 20%
  • Climate controlled office environment during normal business hours.
