JOB SUMMARY

 

The Supply Clerk is responsible for fulfilling supply orders from customers via inbound calls, voice mails, emails and alerts, while maintaining all standard operating procedures and fostering a positive working environment. This role is directly responsible for the successful generation, fulfillment and delivery of customer supply orders. This includes the coordination, execution, problem resolution, analysis and communication necessary to ensure an excellent customer experience. Responsible for order entry accuracy, including ensuring the right products are ordered, pricing & correct method of shipment are applied to the order, and adequate lead time is given to ensure on time delivery to the customer. This individual will also work closely with other departments such as Shipping & Packing, Helpdesk, Dispatch and Admin to ensure that all customer orders are handled efficiently and accurately and by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Ability to adjust, adapt, respond to, and be resourceful in the face of change to deliver business objectives.
  • Ensure customer satisfaction with accurate order placements and assisting them with any questions or concerns regarding their equipment or service.
  • Match customer’s orders to the proper equipment and contract.
  • Effective time management of schedule and prioritization of customer service requests.
  • Build and maintain positive relationships with customers.
  • Requires a high degree of integrity and discretion with routine customer service-related issues.
  • Responsible for the supply order process ensuring customer requirements and objectives met.
  • Identifies of risk, problem solving, team engagement and resolution – in the process
  • Ensures resolution of all customers and internally based process issues in an effective and efficient manner.
  • Tracks required orders and provided recommendations and executes actions for improvement.
  • Partners with supervisor to define operational efficiencies for cost or service improvements.

JOB QUALIFICATIONS

 

KNOWLEDGE REQUIREMENTS

 

  • Ability to establish and maintain effective working relationships with employees, businesses, and the community.
  • Ability to communicate clearly and concisely both in oral and written form.
  • Ability to perform duties with awareness and in accordance with the organization's policies and applicable laws.
  • To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Order processing systems and Contact Management systems.
  • Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.
  • Completes additional tasks and assignments as requested by Service Manager.

 

 

EDUCATION AND EXPERIENCE REQUIREMENTS

 

  • High School diploma or equivalent.
  • BA/BS degree in Business Administration, Sales or relevant field.
  • 2-5 years of related experience and/or training; or equivalent combination of education and experience.

 

 

WORKING CONDITIONS

 

 

  • Regular business hours. Some additional hours may be required.
  • Travel requirements: Domestic and/ or International: Up to 20%
  • Climate controlled office environment during normal business hours.
