POSITION SUMMARY
This position involves a broad range of administrative and advocacy responsibilities in support of the multiple Field programs. The Coordinator is responsible for generally understanding the region’s current conservation work to help communicate our efforts internally and provide administrative assistance to regional staff. This position also serves as a “trouble-shooter” to help solve problems and timely complete unexpected tasks. The Coordinator may have their own portfolio of program work consisting of both short- and longer-term projects that will include regular deliverables to the department and the organization, and external audiences, as appropriate. This role has responsibility for assuring the efficient administrative functioning of a fast-paced Field programs, including providing administrative, program, technical, financial, and research assistance. In addition, the coordinator regularly functions as the Field Directors’ liaison to staff, environmental organizations, Defenders' members and the general public. This position requires substantial discretion in determining how to meet assigned goals and competing deadlines.
Assignments will be results-oriented, requiring substantial discretion on the part of the Coordinator in determining how to meet identified goals (e.g., researching a factsheet, organizing a meeting). Some work will also involve substantive analysis of conservation data, policies, and other information. The Coordinator will have opportunities to learn about current conservation issues, acquire new skills, and be expected to apply that information and new skills for the department.
Ideal candidates for this role are extremely well organized and have excellent administrative skills; possess strong oral and written communication skills; are capable of articulating Defenders’ position on complex issues; and possess a commitment to natural resource conservation. They should have familiarity with financial accounting, budget planning, contracting procedures, grant reporting, and implementing general compliance procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative:
- General Administrative Support: Compile and edit documents; assist department staff in understanding and complying with administrative procedures; manage and distribute information; attend all relevant internal staff meetings; timely completion of necessary administrative needs.
- Work with staff members to implement changes that will improve workflow within the context of institutional systems and culture.
Program Support:
- Collaborate and coordinate conservation actions and campaigns with staff and other environmental community outreach partners engaged on similar issues.
- Coordinate educational or organizing events such as campaigns, rallies and conferences;
- Facilitate and promote the integration of empowerment, accountability, fairness, respect, trust, appreciation, and safety in Defenders’ work.
Policy Support:
- Conduct research (both long- and short-term) and analysis and synthesize information to promote Defenders’ regional policy goals. Support the Field Directors and Vice President of Species Conservation and Coexistence and other regional staff in developing, planning and communicating our work on wildlife conservation.
- Develop, distribute, and/or present necessary materials such as talking points, factsheets, action alerts and multi-media presentations; Proofread draft reports, presentations and other publications for content, as well as coordinate any necessary printing, graphics and production.
- Research specific conservation issues and prepare comprehensive background memos
Budgets and Accounting:
- Timely administration of payments, check requests, reimbursement requests, and other financial procedures for multiple Field programs.
- Prepare and facilitate review for Field program of contracts, Letters of Agreement (LOA), Memorandums of Understanding (MOU), and other documents via Defenders’ internal contract management system (i.e. Cobblestone).
- Support multiple Field Directors and other regional Field staff in development of annual budget proposals for both regions.
- Maintain and utilize systems to track Field program restricted grants, budgets and other expenditures and financial transactions.
- Monitor and reconcile monthly and annual accounting statements for multiple Field programs.
General Support:
- Perform all other related duties as assigned and be an energetic, enthusiastic and committed advocate for all Defenders’ programs.
Travel:
- This role may require occasional travel.
QUALIFICATIONS
Education: Bachelor’s (B.A./B.S.) degree or equivalent. Finance, Operations, Accounting or Business Management degree preferred
Experience: 2 years of relevant experience
An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
