About the Role

The Inside Sales Operations Administrator is responsible for managing the operational backbone of the sales lifecycle, including renewals, quoting, procurement coordination, and order management. This role ensures accuracy, timeliness, and consistency across all sales operations processes while supporting internal teams and external partners.

This role requires a high level of organization, attention to detail, and the ability to work independently while coordinating closely with engagement managers, team leads, engineers, accounts receivable, vendors, distributors, and customers.

Essential Duties & Responsibilities

The essential duties & responsibilities of the Infrastructure Services – Sales Operations Administrator role are outlined below in correlation with Dean Dorton’s performance management impact areas.

 

Technical

Definition: your specialized knowledge & expertise associated with the work you perform for/with clients (note: clients may be internal to Dean Dorton).

Lifecycle Management & Procurement

  • Maintain accurate renewal dates, contract terms, and lifecycle records across systems
  • Track customer agreements, product terms, subscription periods, and procurement requirements
  • Coordinate procurement activities for hardware, software, licensing, and renewals
  • Manage purchasing workflows including requisitions, purchase orders, approvals, receiving, and fulfillment coordination
  • Track shipping activity, including shipment status, delivery updates, and exceptions
  • Maintain documentation related to quotes, order acknowledgements, deal registrations, renewal notices, and procurement records
  • Coordinate with vendors and distributors regarding product availability, order status, backorders, cancellations, replacements, and returns

Renewals Management

  • Identify, track, and document renewal terms, dates, entitlements, and scope of coverage
  • Maintain a proactive renewal calendar and initiate renewal activity in advance of deadlines
  • Communicate upcoming renewal requirements to customers and internal stakeholders
  • Support renewal protection processes and maintain accurate partner-of-record documentation
  • Assist with renewal expansion opportunities, including co-terming and true-ups
  • Prepare and process renewal quotes, orders, and documentation
  • Drive renewals to closure prior to deadlines and escalate risks as needed
  • Update systems post-renewal to ensure ongoing data accuracy

Quoting & Deal Registration

  • Generate accurate quotes for products, software, renewals, and services
  • Manage deal registration processes with vendors and distributors
  • Validate quote accuracy, including pricing, quantities, terms, and customer information
  • Coordinate with technical teams to validate bill of materials and scope prior to quote delivery
  • Manage quote revisions, approvals, and documentation
  • Ensure quotes are delivered within defined turnaround SLAs
  • Support conversion of approved quotes into order execution workflows

Inside Sales Operations & Process Ownership

  • Develop, document, and maintain inside sales processes and standard operating procedures
  • Own and improve operational handoffs across presales, post-sales, procurement, and accounts receivable
  • Establish and maintain process controls and system-of-record discipline
  • Monitor open orders, renewal pipelines, and quoting workflows to identify bottlenecks
  • Drive continuous improvement of processes, templates, and operational workflows
  • Support the development of a scalable and repeatable inside sales function

Experience & Qualifications

 

§        Experience in inside sales administration, sales operations, procurement coordination, renewals, quoting, or a related operational role required

§        Strong understanding of quote-to-cash and renewal management processes

§        Experience working with vendors, distributors, and customer order workflows

§        Demonstrated ability to manage deadlines, documentation, and multiple concurrent tasks

§        Strong communication and coordination skills across cross-functional stakeholders

§        Ability to work independently and take ownership of operational processes
