About the Team
Dean Dorton’s administrative team plays a vital role in supporting the firm’s people, operations, and leadership through high-quality administrative and operational support. The team partners closely with firm leadership and internal stakeholders to ensure consistency, efficiency, and professionalism across daily operations. By maintaining strong systems, processes, and relationships, the administrative team helps enable the firm to operate smoothly, scale effectively, and deliver an exceptional internal client experience.
About the Role
The Administrative Assistants provide direct administrative support to Directors within assigned service groups and serve as a critical operational partner in supporting day-to-day business activities. This role is essential to ensuring efficient workflows, clear communication, and seamless coordination across service group operations. Administrative Assistants play a key role in anticipating needs, maintaining organization, and enabling leaders to focus on client service and strategic priorities.

Essential Duties & Responsibilities
The essential duties and responsibilities of the Administrative Assistant role are outlined below in correlation with Dean Dorton’s performance management impact areas.
Technical
Definition: Your specialized knowledge and expertise associated with the work you perform for/with clients (note: clients may be internal to Dean Dorton).
- Plan, organize, and schedule service group meetings, events, and internal engagements.
- Prepare reports, presentations, and documentation for meetings, trainings, conferences, and leadership discussions.
- Draft, review, and distribute communications on behalf of Directors, ensuring accuracy and professionalism.
- Maintain client databases and update CRM and other internal client platforms as needed.
- Provide calendar management support, including scheduling meetings and managing conflicting priorities.
- Coordinate travel arrangements, including transportation, accommodations, and meals.
- Assist with preparing and submitting monthly expense reports.
- Receive, sort, and distribute service group deliverables and materials.
- Anticipate the needs of the service group to ensure a seamless, organized, and positive experience.

- Complete firm administrative requirements, including timely time entry.
- Support Office Services initiatives and assist team members as needed.
- Participate in firm activities, events, and committees when applicable.
Experience & Qualifications
- High school diploma or equivalent required; college degree preferred.
- Previous administrative experience preferred.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy in data entry and document preparation.
- Demonstrated ability to manage multiple tasks, projects, and deadlines successfully.
