Executive Assistant

Location: On-site; Lexington, KY

As an Executive Assistant, you will provide vital support to A-shareholders by adapting to their specific needs, while also overseeing and managing the performance of Administrative Assistants to ensure smooth operations.

In this role, you will:

  • Understand shareholder needs, preferences, strengths, and weaknesses, and manage responsibilities accordingly.
  • Adapt working style to fit shareholder expectations and varying circumstances.
  • Respond swiftly to evolving, demanding, or unforeseen shareholder and firm needs.
  • Act as a liaison with clients as preferred or requested by the shareholder.
  • Manage scheduling for meetings, conferences, events, and appointments.
  • Organize and prepare for meetings, including handling documentation and logistics.
  • Research, gather, and analyze information for the shareholder.
  • Coordinate travel arrangements, including accommodations, transportation, and meals.
  • Draft, review, and distribute communications on behalf of the shareholder.
  • Manage shareholder’s email, prioritize messages, and respond as needed.
  • Serve as a gatekeeper to external parties seeking access to the shareholder.
  • Assist in the annual budgeting process and manage expenditures.
  • Administer the service group credit card and manage monthly reconciliations.
  • Prepare and submit monthly expense reports.
  • Provide support to shareholders with Dean Dorton’s billing processes.
  • Perform other duties as assigned.

Management Responsibilities

  • Recruit, select, onboard, and train new Administrative Assistants.
  • Delegate tasks, assignments, and projects effectively.
  • Coach and mentor team members to support their development.
  • Evaluate team member performance and offer constructive feedback.
  • Assist team members in achieving their personal development goals.
  • Serve as backup to Administrative Assistants during PTO or other unavailability.

 

Qualifications

  • Bachelor’s degree preferred, but not required.
  • Three (3) to five (5) years of administrative experience required.
  • Experience as an Executive Assistant preferred.
  • Experiencing managing multiple leaders is required.
  • Exceptional communication skills, both written and verbal, with a professional and courteous demeanor.
